As Board Coordinator you primarily will be responsible for supporting the Corporate Secretaries by coordinating the operational activities around the Supervisory Board and the Management Board which fall under the Corporate Affairs team.
The team
The Corporate Affairs team contributes to compliant, effective and efficient corporate governance by:
Guiding high quality proposals to the corporate boards to ensure effective corporate decision making.
Facilitating well-prepared, efficient board meetings.
Adhering to applicable standards, laws and regulations.
Using digital/tech solutions where possible.
Provides adequate assurance, advice and support on board related content and process matters.
Acts as gatekeeper and liaison between the corporate boards, the rest of the ING organisation and its stakeholders, such as regulatory and supervisory bodies.
Role and responsibilities
Your primary responsibility will be facilitating all aspects around the organisation of Supervisory Board and Management Board meetings, among others:
Supporting the Corporate Secretaries in the development of agendas, coordination of meeting logistics, distribution of minutes and other follow-ups
Coordination of and communication with (senior) stakeholders within ING to facilitate timely and high quality information flow towards the corporate boards;
Diligent record keeping of relevant information
Maintaining a strong working relationship with the Executive Assistants of the Management Board
Assisting Supervisory Board members with logistical operating arrangements and other board related requests, as needed
In addition, you will also engage in other activities, such as:
Preparing and maintaining an annual overview of board meetings and similar board-related events
Contributing to ongoing process improvements and innovation initiatives within the team. This includes the reassessment of current procedures, automation of manual tasks, integration of existing and new systems, and developing one way of working across the team.
Writing and maintaining process descriptions relevant to the role
Supporting the Corporate Secretary in the planning of the annual (international) Supervisory Board / Management Board business visit
Supporting the Company Secretary in the development and implementation of induction programmes for new corporate board members
Assisting the team on due diligence requests

We are looking for a hands-on and enthusiastic addition to our team with a sense of humour and a passion for getting things done. Preferably with prior experience supporting governance and disclosure processes within a comparable team and affinity with legal matters. A Board Coordinator has the following traits and experience:
Strong communication, administrative and organisational skills;
Organisational sensitivity and ability to work with confidential information in a discrete manner;
Solid inter-personable and (senior) stakeholder management skills, including experience supporting corporate board member(s);
Flexible, can-do mentality and ability to multitask with an attention to detail, anticipate executive needs, and deliver on time;
Good written and spoken English required;
Proficiency in MS Office (Outlook, Teams, Word, Excel, PowerPoint) and affinity with other digital solutions, such as SaySo and Sherpany are an advantage;
Available for 40 hours per week.*
*This role requires flexibility to be available beyond standard office hours to address time-sensitive matters or unexpected issues.
