Job Details
Under the general direction of the Finance Shared Service Center Manager, this position is responsible for supervising the billing team to ensure work is properly allocated, accurate, and completed within monthly closing deadlines. The role also serves as a liaison between the Sales and Billing departments for the implementation of new tariffs, heavy-weight shipments, and customer inquiries related to invoicing.
Responsibilities
- Provide leadership and daily operational support to the Billing Team.
- Learn and master all billing-related systems, including Billing Processes and Tariffs/Pricing, to support each country as needed and maximize revenue.
- Collaborate with the Sales department to implement new pricing structures, routings, and packaging requirements for clients.
- Create and manage documentation required to update customer files, including special rates, routing, packaging, and discounts.
- Monitor invoice accuracy and coordinate with Sales and Accounts Receivable to resolve discrepancies.
- Oversee personnel matters, including payroll, Workday management, hiring, termination, performance management, training, and professional development.
- Manage the full onboarding process: communicate role and company details, build new hire training plans, conduct performance reviews, and perform routine check-ins.
- Manage employee performance by providing weekly billing statistics, feedback, and consistent one-to-one meetings.
- Assist the Billing Manager with daily operations to ensure rapid issue resolution and accurate communication to the team.
- Ensure all billing department inquiries are handled promptly and escalate issue trends to the Regional Billing Manager as needed.
- Prepare protocol budgets and reports for the Sales department and clients.
- Provide global communication/support and assist with special projects.
- Perform crediting and rebilling of invoices; handle escalations and inquiries from Sales and Customer Service.
Education
- Bachelor’s degree in Accounting (Profesional en Contabilidad).
Certification
- Professional license registered with the Colombian Board of Accountants (Tarjeta Profesional registrada ante la Junta Central de Contadores).
Work Experience
- Minimum 3 years leading teams (combined onsite, remote, or shared services preferred).
- Experience generating and signing financial statements.
- Experience with electronic billing and DIAN/local reporting.
- Experience with rate cards, pricing structures, customer contracts, TMS systems, billing systems, and ERP systems (SAP preferred).
Skills and Knowledge
- English proficiency (written and oral).
- Monthly closing activities and financial reporting.
- Advanced Excel skills, including macros, formulas, data tables, pivot tables, and related analytical functions.
- Proficiency in Microsoft Word, PowerPoint, and Outlook.
- Strong analytical, decision-making, and problem-solving abilities.
- Ability to motivate, coach, and develop staff.
- Strong interpersonal skills, positive attitude, and self-motivation.
- Ability to multitask, work under pressure, meet deadlines, and manage high-volume workloads.
- Ability to communicate effectively (oral and written).
- Excellent organizational skills and attention to detail.
- Ability to work independently and in a team environment.
- Ability to resolve customer issues quickly and creatively to improve customer satisfaction.
