Position Summary:

The Badging Coordinator is responsible for performing, coordinating, and managing the federally mandated badging and access control program at the airport. Performs reception, customer support and administrative support duties for the airport. Provides information and assistance to airport tenants, users, passengers and the public.

Examples of Work Performed:

The following duties are typical of this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required or assigned.

  • Performs and coordinates all Airport security badge functions including, but not limited to, federally mandated badging compliance, distributing security badge information, processing badge applications, initiating applicant training
  • Acts as Assistant Airport Security Coordinator and assists the Airport Security Coordinator with updates to the Airport Security Program as necessary
  • Manages, implements, and maintains the system for security sensitive information (to include badge record keeping, issuance, inspection and correspondence)
  • Collects, retains, and destroys, as required, highly security sensitive and personal information.
  • Controls and maintains key inventories, records and audits
  • Coordinates the preparation, compilation and dissemination of various Airport reports, project updates, statistical information and correspondence (to include website updates, and mailings)
  • Calculates and processes payroll and maintains employee records
  • Administers and compiles the agenda for Joint Airport Board meetings
  • Coordinates organizing, scheduling and setting up special events or meetings
  • Coordinates scheduling of the Airport’s conference rooms and maintains meeting room schedules
  • Coordinate airport marketing efforts including updating the airport website and social media presence.

While the following tasks are necessary for the work of the unit, they are not an essential part of the purpose of this position and may also be performed by other unit members.

  • Performs general office reception duties, including answering the Airport’s main telephone line, routing calls appropriately, greeting walk-in customers and responding to email, phone, and in-person inquiries for information or assistance. Directs inquiries and requests for service to appropriate resources, as needed
  • Coordinates employee travel and training arrangements
  • Assists the Director and Assistant Director(s) and other Airport staff as directed with administrative tasks such as correspondence preparation, mailing, filing and record keeping
  • Maintains, updates, and organizes Airport project files to ensure accurate and consistent record keeping and organization
  • Monitors inventory of office supplies and equipment and restocks/orders supplies as necessary.
  • Monitors, orders, and restocks all badging supplies as needed
  • Maintains regular and reliable attendance

Qualifications:

  • Associates degree in a related field
  • 3+ years’ related experience in a multi-faceted, fast paced office environment
  • Or any combination of education, training and experience which provides the required knowledge, skills, and abilities to perform the essential functions of the job

Compensation: 

Starting Hourly rate ranges from $29.53 to $32.61, depending on qualifications and experience, along with County Benefits

Licenses and Certifications:

  • AAAE Trusted Agent Airport Certified Employee required at hire or within 12 months of hire.
  • Valid Wisconsin drivers’ license and a driving history that meets County standards.
  • Incident Command System (ICS) training, level ICS-200 or above, within 12 months of hire.

Knowledge, Skills, and Abilities:

Knowledge of:

  • Office administration and recordkeeping practices.
  • Handling confidential and security-sensitive information.
  • Computer programs such as word processing, spreadsheets, and email.

Skills in:

  • Providing professional customer service to airport staff and the public.
  • Maintaining accurate records and attention to detail.
  • Organizing work, managing multiple tasks, and meeting deadlines.
  • Preparing correspondence, reports, and meeting materials.
  • Using office equipment and computer systems.

Ability to:

  • Interpret and apply airport policies and federal security requirements.
  • Maintain confidentiality when handling sensitive information.
  • Work independently while supporting a team environment.
  • Build and maintain effective working relationships with airport staff, partners, and regulatory agencies.

Physical Requirements:

Low Physical Requirements - Job involves minimal physical exertion or movement. This job typically requires prolonged sitting, limited walking, or minor lifting.
