Summary of Job Duties:

The Oncology Social Work (OSW) Program Manager (non-licensed) is responsible for the coordination, administration, and oversight of patient financial assistance programs within the Oncology Social Work department. This role manages the full lifecycle of financial assistance resources, including application review, grant administration (internal and external), expenditure tracking, and required reporting to ensure compliance and effective stewardship of funds exceeding $180,000 annually.

The Program Manager supports high-volume patient assistance operations, facilitating eligibility determination and coordination of financial resources such as lodging, transportation, food support, medications, and other essential needs. This position ensures accurate documentation, tracking, and reporting of all assistance activities in alignment with institutional and funding requirements.
Additionally, the Program Manager coordinates lodging referrals for patients utilizing free or reduced-cost accommodations, working directly with patients and community partners to assess needs and secure appropriate arrangements.

This role is critical to ensuring timely access to financial support services, maintaining regulatory compliance, and optimizing the delivery of resources to oncology patients and their families.


Qualifications:

Minimum Qualifications:

  • Bachelor's degree in social work, business or related field

  • Two (2) years’ experience in healthcare, oncology, social services or care coordination project/program management with financial tracking and reporting requirements

  • Demonstrated strong customer service skills including effective communication, follow-through, service recovery and de-escalation

  • Proficient in technology systems, including Epic and Microsoft Office applications (Excel, Access, PowerPoint, etc.)

  • Proven ability to manage multiple stakeholders, systems, and competing priorities effectively

Preferred Education:

  • Masters degree in social work, business or related field

Additional Information:

Responsibilities:

  • Triages patient calls and walk-ins, assess needs, and connect patients to appropriate licensed OSW staff and resources.

  • Assigns patient calls to staff in the event of staff absences to maintain coverage.

  • Serves as a liaison between patients and licensed OSW staff to support care planning and address barriers.

  • Provides supportive, non-clinical interventions and escalate concerns to licensed OSW staff as appropriate.

  • Assists with support groups as appropriate to role and scope.

  • Manages patient financial assistance processes, including eligibility assessment and equitable distribution of resources in accordance with OSW Standard Operating Procedures.

  • Coordinates staff resources such as lodging, transportation, food support, medications, and nutritional supplements.

  • Oversees lodging referrals and maintain relationships with community vendors and partners.

  • Tracks all financial assistance activity, including documentation, approvals, expenditures, invoices and reporting to ensure compliance and appropriate stewardship of funds

  • Provides regular financial reports for OSW leadership to ensure funds are available for the duration of the grant award.

  • Maintains resource tracking systems to ensure accuracy and availability.

  • Supports awarded grant administration and reporting requirements; monitor financial assistance data and program metrics.

  • Coordinates patient support programs (e.g., food pantry, nutritional supplements, gas cards, etc.), including inventory management, utilization tracking and staff assistance. Evaluates workflows and recommend process improvements to enhance efficiency and service delivery.

  • Supervises administrative support staff and coordinates daily office operations, workflows, and coverage during staff leave requests.

  • Manages Social Work Shared Drive, documentation systems, licensure/CE files, and grant reporting support as requested by OSW leadership.

  • Supports onboarding, training, and coordination of staff, students, and departmental activities.

  • Collaborates with interdisciplinary teams, leadership, and community partners to align services with organizational priorities and patient-centered care standards.

  • Takes and maintains minutes for staff meetings.

  • Ensures professionalism, consistency and clarity in communication with patients, staff and community partners.

  • May perform other duties as assigned.
