Position Overview:
The Associate Director, Project Management Office (PMO) is responsible for staffing, training, and providing leadership of the PMO supporting ownership of the site project portfolio including implementation and management of project governance tools across technology platforms (i.e. trackers, dashboards, playbooks, roadmaps, etc.). This role also coaches and develops site resources in project management fundamentals to drive consistency and execution. The Associate Director will work with the Site Leadership Team and other leaders & SME’s to establish appropriate level of project management guidelines and processes for delivery and communication of projects. They will drive the implementation, application, and integration of standard project management processes and tools including but not limited to the development, monitoring, and control of integrated scope, timelines, budgets, risk management and communication plans, and establishing access/storage requirements of project documentation for alignment with key stakeholders. This role will coach, train, and mentor LKC colleagues to ensure they follow standard project management processes, tools and templates. They ensure projects being executed align with Lilly Kenosha County (LKC) Manufacturing & Quality (M&Q) goals.
Responsibilities:
- Lead and develop a team of project managers including contractors/consultants as needed.
- Mentor Functional Leads & SMEs and support training initiatives on project management best practices within LKC
- Foster a culture of accountability, collaboration, and continuous improvement
- Contribute to the development of long-range planning and resource forecasting
- Assigns project managers to projects ensuring proper resource allocation / balancing to ensure delivery in line with scope, timeline, and cost (as applicable)
- Ensure staff training is completed on time
- Implement and maintain project management methodologies and tools
- Facilitate effective communication and decision-making across departments
- Resolve conflicts and remove roadblocks to ensure timely project delivery
- Ensure projects adhere to industry regulations (FDA, EMA, and GxP standards)
- Support project / portfolio reviews and governance presentations
- Serve as a key point of contact for internal and external stakeholders, including contractors, global roles, and similar partners on key LKC site projects.
- Establish and maintain an integrated project schedule for LKC
- Oversee project timelines, budgets, and resource allocation
- Resolve conflicts and remove operational barriers to ensure uninterrupted project progress.
- Maintain clear, timely communication with SLT regarding project status, issues, and deliverables.
- Translates project strategies to project management team to ensure proper deployment to project team
- Assists in the creation of a project plan or subsets of the plan including risk management.
- Ensures delivery of project milestones on time, on budget, within scope, and with quality by escalating in a timely manner to avoid variances.
- Establishes project governance meetings and leadership calls with key stakeholders including development of agendas, creation of meeting minutes, tracking of action items, and scheduling of follow-up meetings.
- Serves as a point person for all LKC projects managed by the Project Management Team.
- Facilitates (leads) the collaboration effectiveness of project team members with functional leaders and/or SLT and suggests adjustments to meet project needs.
- Works with functional leaders to identify and assign project resources; monitors project resource needs and prioritizes / escalates appropriately.
- Create project charters in collaboration with SLT and/or SMEs to get the appropriate alignment among key stakeholders on key project characteristics.
- Ensure proper integration of Lilly gating requirements (MTAH, MR Gates) to LKC projects including collection and archival of required approvals.
- Seeks opportunities to capture and share learnings cross functionally and across M&Q organizations by interacting with other leaders within Lilly to share information and best practices.
- Identifies and brings forth areas for continual process improvement to team and function; identifies methods to decrease project duration and/or increase efficiency of project deliverables.
- Conducts post-project reviews across functions to drive continuous improvement.
- Lead / participate in other site initiatives as required by supervision
- Collaborate with SLT & functional leaders to align project strategies with overall LKC priorities.
- Develops and manages the Project Management department budget in partnership with Finance Team, and others as needed.
- Deliver accurate and robust information to key stakeholders, including leading the preparation and presentation of project governance metrics, scorecard, or other review method as defined by SLT or M&Q Sr. leadership
Basic Qualifications:
- Bachelor’s degree preferably in a Scientific, Engineering, Business or field related to Project Management.
- PMP Certified or similar certifications (e.g., PgMP, PfMP).
- 12 years of progressive experience directly related to pharmaceutical manufacturing or relevant manufacturing / drug development experience with a strong knowledge of regulations and guidelines.
- Must understand pharmaceutical development / manufacturing processes and the interdependencies of various tasks that require coordination among teams, functional groups, and regions.
- Ability to work across functional and geographic boundaries to develop strategies and plans and deliver results.
- Self-management and organizational skills; able to manage workload by setting personal and team priorities and adjusts as needed.
- Effective interpersonal and team building skills; proven ability to develop effective teams with diverse interpersonal styles.
- Able to anticipate change, show flexibility, adjust quickly and effectively to frequent changes and altered priorities.
- Problem-solving skills: able to anticipate and recognize systemic problems, diagnose root causes, and take corrective actions to prevent recurrence within the team.
- Communication skills: able to communicate clearly and succinctly with different audiences including functional leaders, SLT, and M&Q Sr. Leadership.
- Practical experience as a leader of a Project Management Team or demonstrated management of cross-functional teams.
Additional Skills/Preferences:
- Higher degrees (e.g., MS., MBA, Masters in Project Management).
- On-site presence with hybrid flexibility in line with Lilly / M&Q requirements
- Experience working in big pharma, device development, working with Clinical Research Organization (CROs) and / or third parties.
- Strong computer skills especially in Microsoft Office Suite (Word, Excel, PowerPoint, and Vizio).
- SmartSheet or Microsoft Project application proficiency.
- Strong presentation skills.
- Strong learning agility.

Actual compensation will depend on a candidate’s education, experience, skills, and geographic location. The anticipated wage for this position is
$123,000 - $180,400
Full-time equivalent employees also will be eligible for a company bonus (depending, in part, on company and individual performance).
