The Job

  • Report to managers on operations and provide timely reporting updates

  • Maintain strong relationships with internal clients, external suppliers, landlords, and project teams

  • Manage vendor relationships, monitor service delivery against KPIs and SLAs, and oversee procurement and contract compliance

  • Update and execute site SOPs with full understanding and ensure compliance with statutory regulations and health & safety standards

  • Assist in delivering professional FM services including procurement and operational matters for office and customer-facing premises with cost effectiveness and efficiency

  • Coordinate with peers and outsourced vendors to deliver day-to-day facilities operations (repairs, cleaning, mailroom, pantry, AV systems, security systems, and telecom services) in a risk-free workplace

  • Oversee procurement and vendor management including contract negotiation and monitoring of SLA compliance

  • Supervisory on the sub-team performance, including monitoring, evaluation, coaching, training, team building etc. activities, to build an efficient-working team

  • Support lease administration, liaise with landlords and building management, and assist in space planning, office moves, and workplace optimization projects

  • Increase operational risk awareness by reviewing workflows, developing audit trails, and ensuring security management compliance

  • Assist in budget preparation, expense tracking, cost-saving recommendations, and promote ESG/sustainability initiatives including data collection and reporting

  • Support minor restack and desk move projects, FM business continuity plans, perform emergency duties outside working hours, and handle ad-hoc tasks as assigned

The Person

  • Degree preferred in Facilities Management / Environmental Science/ Sustainability / Business Administration or a related discipline with 5+ years’ solid facilities management experience working in financial institutions or corporate real estate industry

  • Possess experience to manage office space portfolio of 100,000 sq. ft. or more in multiple locations

  • Sound experience in supervising 3rd party vendors & people management

  • Fluency in Chinese and English business communication, both verbal and written (Mandarin is a plus)

  • Technology savvy but not limited to MS Office applications

  • Technical knowhow, good sense of market knowledge from FM & procurement perspectives

  • Health and safety background e.g. first aid certification & Safety card is a plus

  • Knowledge in relevant statutory regulations/ ordinances/ code of practice

  • Strong analytical and problem-solving skills with critical thinking and effective incident management

  • Excellent negotiation abilities and supplier relationship management

  • Independent, proactive, adaptable under pressure, and able to prioritize tasks while embracing challenges

  • Detail-oriented, innovative, confident, and committed to deadlines with strong communication and interpersonal skills
