The Oklahoma Department of Agriculture, Food and Forestry (ODAFF) is seeking a full-time Administrative Assistant in the Animal Industry Services Division. This position (PIN #04000224) is in state government, located in Oklahoma City, OK. The State of Oklahoma offers a comprehensive Benefits Package, including a generous benefit allowance to offset the cost of insurance premiums for employees and their eligible dependents.
The hourly pay for this position is up to $22.29 based on education and experience.
Basic Purpose/Position Description: This position will be responsible for receiving, filing, and data entry of documents important for animal disease traceability. This includes preparing spreadsheets and reports and utilizing web-based programs to accurately post, record, and retrieve data using a computer.
Typical Functions: Receiving electronic and paper documents, scanning, and filing. Accessing electronic databases and entering data. Answering phones, giving clients information about animal import requirements, assisting veterinarians with data management issues.
Level Descriptor:
Level I – Employees are assigned routine duties and responsibilities. Employees will coordinate internal and external activities of the program and respond to routine inquires. Participation in team, unit, or office projects to improve the effectiveness and efficiencies in delivering agency services is expected.
Level II - Employees will establish and maintain positive working relationships, respond to internal and external customer inquiries according to applicable policies and procedures in written and oral form, perform assigned administrative and operational tasks, this may include editing and auditing various reports for accuracy and ensuring errors are corrected. Participation in team, unit, or office projects to improve the effectiveness and efficiencies in delivering agency services is expected.
Knowledge, Skill, and Abilities:
Level I - Knowledge, Skills, and Abilities required at this level include knowledge of spelling, punctuation, and business English; business mathematics; of modern office methods and procedures; the maintenance of complex records; and the major policies and procedures governing assigned programs.
Ability is required to establish and maintain effective working relationships with others; perform confidential work and maintain confidentiality; interpret and complete routine matters according to agency policies and procedures; and follow oral and written instructions.
Level II - Knowledge, Skills, and Abilities required at this level include knowledge of spelling, punctuation, and business English; of business mathematics; of modern office methods and procedures; establishing and maintaining records; and major policies and procedures governing assigned programs.
Ability is required to establish and maintain effective working relationships with internal and external partners, customers, and staff; perform confidential work and maintain confidentiality; and interpret and respond to inquiries at various levels of complexity in accordance with agency policy, in written or oral form.
Education and Experience:
Level I - Education and Experience requirements at this level consist of a bachelor’s degree or four years of technical clerical, administrative, secretarial, or general office work; or an equivalent combination of education and experience.
Level II - Education and Experience requirements at this level consist of a bachelor’s degree plus one year of technical clerical, administrative, secretarial, or general office work, or an equivalent combination of education and experience.
Physical Demands and Work Environment: This position is set in a climate-controlled office environment with minimal travel required throughout the year. This position is often required to remain in a stationary position more than 75% of the time; with most of this time being used to enter data into spreadsheets. This requires communicating with both employees and nonemployees
Additional Information:
This position is subject to a twelve-month probationary period.
