Key Responsibilities

A) Construction Phase (Primary)

  • Contractor Coordination
    • Act as the on-site focal point supporting the Project Manager.
    • Work with Document Controller to serve as first point of contact for document receipt/logging from General Contractor, piling, and specialty contractors (submittals, RFIs, method statements, permits, inspection reports).
    • Follow-up Document Controller to track document status and dependencies; route to reviewers; maintain a clean register with due dates and approvals.
  • Site Visit & Management Logistics
    • Plan and book vans, hotels, meeting rooms, access badges, PPE, and site escorting for management/visitor tours.
    • Prepare visit agendas, contact lists, and onsite packs (HSE briefing, maps, emergency numbers).
  • Meeting Operations
    • Organize site construction meetings; circulate agendas; record minutes, decisions, and action owners; follow through to closure.
  • HSE & Compliance Admin
    • Maintain visitor logs, induction records, permit-to-work logs, and incident/near-miss admin files per site rules.
  • Reporting & Controls
    • Compile weekly/monthly dashboards (progress snapshots, action logs, submittal/RFI aging, visit calendar).
    • Maintain registers: drawing transmittals, NCRs, punch list, and handover dossiers.

B) Travel & Expense (Concur)

  • Create travel requests/itineraries for management and project staff (flights, hotels, ground transport) in line with policy.
  • Prepare and audit expense claims; ensure receipts/compliance; submit in Concur; track reimbursements and aging.
  • Coordinate with Finance team for the reimbursements.

C) Operations Phase (Production)

  • Plant Admin Support
    • Support Plant Manager with meeting cadence, shift rosters distribution, visitor management, vendor PO/GR admin, and document archiving.
  • Facilities & Vendor Coordination
    • Coordinate routine contractor/service provider visits (maintenance, calibration, waste, utilities) and keep service logs current.
  • Document Controller
    • Keep SOPs/templates current; propose process simplifications for operations document control system (numbering, metadata, revision control, and distribution matrix).

Required Qualifications

  • Diploma/Bachelor’s in Business Administration, Engineering Admin, or related field.
  • 3+ years’ experience in project/site administration or plant admin; construction/industrial setting preferred.
  • Proficient in MS Office (Excel, PowerPoint, SharePoint/Teams); strong file/version control discipline.
  • Experience with Concur (or an equivalent T&E system) for bookings and expense claims is an advantage.
  • Strong English and Thai communication; clear, concise business writing.
  • High reliability under time pressure; able to manage multiple parallel requests at site.
  • Basic knowledge of HSE site protocols.
  • Familiarity with construction documentation (submittals, RFIs, ITPs, permits).

Tools & Systems

  • Microsoft 365 (Outlook, Excel, PowerPoint, SharePoint/Teams), Concur, site access/badge systems, scanner/printer.
