Job Description
This position is for an Administrative Programs Officer I for the Central Office Division.

This position provides administrative support to program areas involved in purchasing, construction project coordination, inventory management, logistics, and grants administration. The role focuses on assisting staff and leadership by maintaining organized records, preparing documentation, coordinating communication, supporting procurement activities, tracking inventory data, assisting with logistics workflows, and helping compile information needed for grant submissions and reporting. Employees in this role ensure efficient daily operations by performing clerical, technical, and routine administrative tasks in accordance with agency policies and procedures.
Duties performed in this role may include:
Assists with purchasing activities by preparing and/or approving DPR in SharePoint, collecting quotes, maintaining vendor files, and tracking order statuses.
Provides administrative support for construction and facility projects by organizing documentation, updating project files, scheduling meetings, and assisting with communication between internal staff and contractors.
Provides logistical support by coordinating deliveries, preparing distribution lists, and maintaining documentation related to material movement.
Assists with grants by helping gather required documentation, maintaining grant files, tracking deadlines, and preparing draft reports or summaries.
Prepares correspondence, reports, spreadsheets, and presentations.
Maintains confidential or complex filing systems, both electronic and physical.
Responds to routine inquiries from internal and external customers, providing information based on established policies and procedures.
Reviews documents for accuracy, completeness, and compliance; resolves routine discrepancies or forwards issues to appropriate staff.
Schedules appointments, organizes meetings, and performs general office duties.
Utilizes agency software systems and data management tools to input, track, and retrieve information.
Provides administrative assistance to program leadership and staff as directed.
Employees at this level perform administrative support duties of moderate complexity. Work is performed under general supervision with guidance available for more complex tasks. Responsibilities focus on supporting program operations—not directing or managing them—by coordinating routine administrative functions and ensuring accurate recordkeeping.
Knowledge, skills, and abilities required at this level include:
Knowledge of office practices, business English, spelling, punctuation, and basic business math.
Knowledge of standard administrative procedures related to purchasing, inventory, logistics, or project documentation.
Skill in organizing records, managing files, and maintaining accurate documentation.
Ability to follow established policies, procedures, and regulatory guidelines.
Ability to use computers, office software, procurement or inventory systems, and data-entry tools.
Ability to communicate effectively, both orally and in writing.
Ability to handle confidential information appropriately.
Ability to work with staff, vendors, contractors, and external partners in a professional and courteous manner.
Ability to follow written and verbal instructions, manage multiple tasks, and meet deadlines.
Education and Experience
Education and Experience requirements at this level consist of a bachelor’s degree and one year of professional or technical administrative * experience in business or public administration; or an equivalent combination of education and experience, substituting one year of qualifying experience for each year of the required education.
*Technical administrative experience would include highly complex clerical work gained under the direct supervision of a professional supervisor or manager.
