SMX is seeking a dynamic, highly organized, and energetic Office Manager/Administrative Assistant to manage our Herndon VA office and support our local teams and clients. The ideal candidate will oversee the daily operations of the office as well as provide administrative support by managing and prioritizing conference space, supporting ad hoc requests from our proposal teams, event planning logistics coordination, supporting onsite meetings, and troubleshooting IT/Audio Visual equipment.

This position is local to the Herndon VA area and requires you to be in the office Monday through Friday.

Essential Duties & Responsibilities:

  • Manage day-to-day office operations, ensuring efficiency and organization in administrative tasks
  • Work with the internal Security team and the building management to:
  • Report office issues and work to resolution
  • Manage employee badge access
  • General facilities support
  • Inventory control
  • Manage the procurement of office and kitchen supplies
  • Ensure office operations run smoothly
  • Oversee visitor requirements (badging, parking, etc.)
  • Confirm IT and audio-visual equipment is working and troubleshoot, as needed
  • Provide logistics support for onsite meetings
  • Support administrative duties for the proposal teams, as needed
  • Promptly respond to communication to action items such as schedule conflicts, urgent issues and other information
  • Receive and distribute mail/packages
  • Perform other administrative duties as required

Required Skills & Experience:

  • 5 to 7 years’ experience as an Office Manager/Administrative Assistant
  • 5 to 7 years’ experience with Microsoft 365 and Microsoft Office suite
  • Exceptional time management skills and ability to complete tasks within required timeframes with little supervision
  • Extremely strong attention to detail even under pressure
  • Self-starter that will work independently, manage workload and multi-tasking skills
  • Strong organizational and multi-tasking skills amid shifting priorities
  • Highly advanced interpersonal skills to build and maintain internal and external relationships
  • Strong communication skills and ability to converse with all levels of organizational management
  • Strong written and verbal communication skills
  • Capacity to learn rapidly and adapt quickly to change

$26.06$39.47 USD
