Duties & Responsibilities:

Responsibilities include:

  • Assist the VP of R&D, point person for departments and building support.
  • Manage internal/external group events, conferences, and customer visits.
  • Make domestic and international travel reservations, obtain passports and visas.
  • Organize and schedule meetings.
  • Manage technical training classes.
  • Ensure and maintain confidentiality of all appropriate communications and documentation. 
  • Process purchase requisition and invoices for payments.
  • Maintain office supplies and ensure smooth office operations.
  • Collaborate and brainstorm with other Administrative Assistants in performance and implementing new tools/processes for company’s success.
  • Maintain a positive working relationship with staff, internal departments, and outside vendors.

    Pre-Requisites / Skills / Experience Requirements:

    Qualifications:

    • HS Diploma or equivalent required; Associate degree preferred.
    • 3-6 years of previous Administrative Assistant experience.
    • Ability to prioritize and multitask; demonstrates urgency and respect for deadlines.
    • Confident in nature working within a shifting, fast-paced environment.
    • Ability to work well under pressure.
    • Solid computer skills - Microsoft Office Suite including Word, PowerPoint, Excel,
      Outlook, and Teams; Oracle experience.
    • Poise, professionalism, and good judgment.
    • Exceptional writing and communication skills.
    • Refined organizational skills, eye for efficiency.
    • Experience with planning company events.
    • Personable team player, dedicated to supporting the company’s overall goals and promoting cost-saving measures.
