JOB PURPOSE:

The Administrative Assistant provides centralized administrative and operational support to the Executive Directors overseeing Physical Facilities Management (PFM), Auxiliary Enterprises, and Student Housing & Commercial Portfolio Management within Enterprise Services & Operations at Howard University. The position ensures efficient coordination of executive office operations by managing scheduling, communications, documentation, and administrative workflows across multiple operational units.

The role supports leadership effectiveness by organizing meetings, preparing reports and correspondence, tracking operational tasks, and facilitating communication between internal departments, vendors, and external partners. By maintaining organized processes and ensuring timely follow-up on priorities, the Administrative Assistant enables executive leadership to focus on strategic initiatives, operational oversight, and service delivery across the University’s facilities, housing, and auxiliary enterprise operations.

SUPERVISORY AUTHORITY:

This position does not have direct supervisory responsibility. The Administrative Assistant may provide administrative coordination and guidance to student workers, temporary staff, or interns supporting Enterprise Services & Operations. The role also coordinates administrative activities across Physical Facilities Management (PFM), Auxiliary Enterprises, and Student Housing & Commercial Portfolio Management to ensure alignment with executive priorities and operational objectives.

NATURE AND SCOPE:

The Administrative Assistant provides executive-level administrative coordination within Enterprise Services & Operations, supporting leadership across Physical Facilities Management (PFM), Auxiliary Enterprises, and Student Housing & Commercial Portfolio Management. The role supports day-to-day office operations by coordinating schedules, meetings, communications, and administrative processes across these units.

This position operates in a fast-paced environment requiring strong organization, attention to detail, and the ability to manage multiple priorities. The Administrative Assistant regularly interacts with university leadership, operational teams, and external partners while maintaining professionalism and discretion when handling confidential information.

PRINCIPAL ACCOUNTABILITIES:

  • Provide administrative support to the Executive Directors of Physical Facilities Management (PFM), Auxiliary Enterprises, and Student Housing & Commercial Portfolio Management.
  • Coordinate calendars, schedule meetings, and organize logistics for leadership meetings, operational briefings, and vendor engagements.
  • Prepare and distribute meeting agendas, reports, presentations, and follow-up documentation.
  • Draft and edit correspondence, memoranda, and administrative communications.
  • Track administrative and operational tasks to ensure timely follow-up and completion.
  • Support processing of purchase orders, invoices, and other financial or procurement documentation.
  • Maintain organized records, files, and documentation related to operational activities and vendor contracts.
  • Coordinate travel arrangements, conference logistics, and event support for executive leadership.
  • Serve as an administrative liaison between Enterprise Services & Operations and internal departments, vendors, and external partners.
  • Perform other administrative duties as assigned to support the operational effectiveness of Enterprise Services & Operations.
  • Performs other job-related duties as assigned

MINIMUM REQUIREMENTS:

Bachelor’s Degree in Business Administration or related field with 2-5 years of related experience. 10 years of related work experience may be substituted instead of educational qualifications.

Expected Salary Range: $75,000 - $85,000
