Your Mission
As the Workspace Coordinator for our Contentsquare Paris office (the largest office in our global portfolio), you are the face and heartbeat of the office. This role goes far beyond facilities management — it blends hospitality with operational rigor to deliver a seamless workplace experience for our employees and executives every day.
You will report to the Global Director of Workspace (also based in Paris) and be part of an international team of Workplace Community specialists. Because culture happens in person, this role requires a strong physical presence (4–5 days onsite per week) to manage vendors, host guests, and actively foster our onsite community.
Your Responsibilities
1. Workspace Experience & Hospitality
Front-of-House Lead
Serve as the primary point of contact for onsite staff, remote team members visiting the office, and VIP guests.
The “CSQ Life” Onboarding Experience
Manage the physical integration of new hires — including security badges, office tours, and a cultural introduction to HQ.
Vibrant Communication
Manage the Paris Slack channel and maintain up-to-date content on the internal intranet. Act as the voice of the office: gather feedback, identify friction points, and confidently drive improvements.
Service Excellence
Maintain a tidy, hybrid-ready environment and provide logistical support for local team gatherings and leadership visits.
Global Collaboration
Partner closely with key stakeholders across the global Workplace Community team (US, France, UK, Spain, and Israel), as well as Internal Communications, People, Executive Assistants, Chiefs of Staff, IT, Marketing, Finance, and Legal teams.
2. Facilities & Operations Management
Vendor Management & Administration
Supervise onsite partners, including building management, food & beverage providers, and storage services. Ensure purchase orders and invoices are accurately raised, reconciled, and paid in line with budget.
Access Control
Manage onboarding and offboarding processes for badges, parking access, and visitor registration with precision and discretion.
Health & Safety Compliance
Ensure full compliance with French workplace regulations. Coordinate safety drills, required training, and documentation. Participate in CSSCT discussions and follow up on action plans.
3. Events, Culture & Strategy
Event Preparation & Production
Lead the preparation of global and local initiatives ranging from monthly socials to hackathons and company-wide kick-offs. Drive local Culture Crew events and initiatives.
Financial Administration
Support Opex/Capex tracking, budget forecasting, invoice management, and expense monitoring in collaboration with the Global Director.
Global Synergies
Contribute to our international workplace strategy by sharing best practices across EMEA, Asia Pacific, and North America, helping elevate our global workspace standards.
Special Projects
Assist with various strategic projects as needed.
Who You Are
Experienced
You bring 2+ years of experience in Office Management or high-end hospitality, with a strong focus on event planning and vendor management. Experience in a fast-paced tech environment or in event/travel management is a strong plus.
Bilingual & Tech-Savvy
Fully fluent in English and French, with polished written and verbal communication skills. Proficient in Google Workspace and Slack; familiarity with Jira, Confluence, or AI-driven tools is a bonus.
Proactive & Assertive
You anticipate needs before they arise and confidently act as the go-to person. You excel at managing multiple priorities, with strong organizational, time, and cost management skills, and the ability to prioritize effectively.
Onsite-Oriented
You genuinely enjoy being present in a dynamic office environment and are energized by connecting people and building culture in person.
Knowledgeable
You understand the French labor environment and workplace Health & Safety requirements.
