This role supports engagement with stakeholders (internal and external), as well as improvement in facilities management and the delivery of client-centric service excellence to end users.

Roles & Responsibilities

  • Client/Stakeholder Support
    - Provide superior customer service to meet on-site client’s expectations
  • Procurement & Vendor Support
    - Assist in the management of all contractors on site to ensure they perform to the required standards (including inspection of vendors’ works)
    - Assist in the procurement of vendors and services as required.
  • Finance Support
    - Assist in financial processes to ensure that all financial management requirements are completed in a timely and accurate manner
  • Health & Safety
    - Conduct regular audits to ensure safety procedures are being complied with
    - Assist in carrying out safety procedures when needed
  • Support the execution of all administrative task related to facilities and employee-related activities.
  • Welcoming visitors and support the visitor registration and distribution of visitor cards as well as issuing a temporary card for employees at reception desk.
  • Support producing business cards and ID badge/lanyard distribution
  • Responsible for incoming mail/parcels, managing of company welfare goods; Loading Dock Coordination (if applicable)
  • Supervision and management of storage room
  • General Office setup for office expansion, Coordinate and manage office move & relocation
  • Employees' Onboarding & Offboarding process support and conduct an orientation for new joiners
  • Coordinate the company events and support the event coordination for the team upon request.
  • Order office supplies, cleaning consumables including healthcare products
  • Responsible for vendor management such as office supplies, external storage, maintenance) and check monthly cost and etc.
  • Managing Parking space for employees, and parking tickets as well.
  • Perform a daily inspection onsite and maintain cleanliness of office
  • Give direction to the onsite cleaning staff, ensuring cleaning standards
  • Perform EHS check regularly and assist in the property risk management program
  • Participate in the disaster recovery and business continuity plans as required
  • Follow established escalation procedures and incident reporting procedures
  • Adhere to Jones Lang LaSalle’s business conduct by ensuring compliance with the firm’s guidelines, procedures and strategies
  • Achieve Key Performance Indicators and Service Level Agreement targets 
  • Other tasks consistent with the role of Workplace Ambassador

Ideal Experience

You should be a graduate in any discipline and have two to three years’ experience in facilities management or the hospitality industry. Proven experience with continuous improvement initiatives and client reporting is also vital for this role. If you’re familiar with occupational safety requirements matched with strong computer literacy and the ability to manage activities using different systems, then you might be the best fit for this job.
