The role

CookUnity is building out TraceGains as our centralized Vendor Management System (VMS) to support supplier onboarding, ingredient specification management, documentation control, and cross-functional visibility across our supply chain.

We are seeking a detail-oriented, self-driven Vendor Management Systems (VMS) Coordinator to own the hands-on build and daily operation of the TraceGains platform. This role will sit within the Supply Chain Operations team and will be responsible for configuring suppliers and items, organizing documentation, managing workflows, and ensuring data integrity across the system.

This role will be fully remote, based in Lima, Peru or Buenos Aires, Argentina

Responsibilities:

TraceGains Administration & Supplier Onboarding

  1. Own day-to-day administration of the TraceGains vendor management platform.
  2. Set up and maintain supplier profiles, item records, specifications, and required documentation workflows.
  3. Initiate supplier onboarding, communicate documentation requirements, and track submission status.
  4. Follow up with suppliers to ensure complete and accurate records within the system.

Documentation & Data Management

  1. Upload, organize, and maintain supplier documentation (specifications, certifications, COAs, regulatory records).
  2. Ensure proper version control, expiration tracking, and data accuracy within the platform.
  3. Perform data cleansing and migration from spreadsheets or legacy tools into TraceGains.
  4. Support standardization of templates and system-based workflows.

Cross-Functional Coordination & Continuous Improvement

  1. Communicate with suppliers and internal stakeholders (Procurement, Supply Chain Ops, QA/Regulatory) regarding onboarding progress and documentation gaps.
  2. Provide visibility into supplier compliance status and support reporting needs.
  3. Identify opportunities to improve workflows, strengthen data integrity, and enhance system utilization.

Qualifications:

  • 1–3 years of experience working with a Vendor Management System (VMS) or Supplier Compliance platform.
  • Hands-on experience with TraceGains strongly preferred.
  • Strong written English communication skills (role requires supplier-facing communication).
  • Experience with similar platforms such as FoodLogiQ, SafetyChain, or equivalent may be considered.
  • Experience onboarding suppliers or managing supplier documentation workflows.
  • Intermediate to advanced Google Sheets / Excel skills.
  • High attention to detail and ability to manage multiple workstreams simultaneously

Preferred requirements:

  • Experience with food manufacturing, meal production, or food distribution companies.
  • Familiarity with ingredient specifications, COAs, and regulatory documentation.
  • Experience supporting ERP or procurement system integrations.
  • Experience writing or contributing to SOP documentation.
