Job Description

Job Duties:

  • 25% – HR Operations & Staff Onboarding

    • Support day-to-day human resources operations for the Department of OBGYN (MUSC and MUSCP).

    • Maintain accurate WorkDay records for personnel actions and payroll changes under guidance

    • Assists with posting and hiring workflows including follow-up of all open positions; screening new resumes, forwarding qualified candidates and setting up interviews.

    • Ensure WorkDay records are updated accurately for faculty, staff, fellows, and grant-funded employees.

    • Assists with separation paperwork and offboarding processes as needed.

  • 25% – Faculty Hiring, Appointment Coordination, and Onboarding Support

    • Assists with faculty hiring processes, including preparing offer letters using existing templates.

    • Coordinates faculty appointment submissions to ensure required documentation is complete.

    • Tracks appointment milestones (licenses, credentialing, access requests) and follows up with appropriate offices.

    • Assist in coordinating all onboarding components including preparation of onboarding agendas for new providers.

  • 15% – Timekeeping & Leave Administration

    • Maintains timekeeping in WorkDay for MUSC and MUSCP classified and unclassified employees.

    • Runs standard reports related to time and leave usage.

    • Communicates deadlines and follows up with staff and faculty to ensure timecards and leave requests are submitted and approved on time.

    • Escalates complex issues to leadership or HR partners as appropriate.

  • 15% – Recruitment & Interview Logistics

    • Coordinates interview logistics for faculty candidates, including scheduling, itineraries, and travel arrangements.

    • Serve as on-site support during interview days as needed.

  • 10% – Licensure & Credentialing Tracking

    • Tracks provider license and credentialing renewals (DHEC, medical licenses, DEA).

    • Assists with application submissions and follow-ups using established processes.

    • Maintains records and alerts leadership to upcoming deadlines.

  • 10% – Employee Relations & Compliance Support

    • Serves as a point of contact for routine HR questions, referring complex employee relations issues to leadership or HR specialists.

    • Disseminates policy updates and required communications to faculty and staff.

    • Assists Business Administrator with agendas and content for departmental staff meetings and administrative tasks related to Engagement/Recognition programs and Annual Employee Satisfaction Survey.

Preferred Requirements and Skills:

Experience with HR systems and timekeeping platforms preferred.

MUSC Minimum Training and Experience Requirements:

A high school diploma and five years relevant experience in business management, public administration or administrative services; or a bachelor's degree and three years' experience in business management, public administration or administrative services.
