Monday-Friday, 4 hours per day, 20 hours per week.
The Office Manager oversees the day-to-day operations of assigned department office environment. This role ensures the office runs smoothly and efficiently within scope. The Office Manager works closely with multiple departments to support assigned department, multidisciplinary, and center-wide activities, as applicable. The Office Manager also contributes to office operations improvements and enhancements, where applicable.

Job Responsibilities:

  • The Office Manager provides administrative and support services and manages office related duties within assigned department.

  • Effectively handles incoming/outgoing phone calls, meeting the needs of caller and/or directing them to correct source when necessary.

  • Schedules and supports small and large meetings.

  • Provides administrative support for documentation, reports, analyses, presentations, etc.

  • Generates periodic reports.

  • Performs data/records maintenance and systems documentation administrative duties.

  • Prepares materials for departmental and/or other use.

  • Managers and orders office supplies.

  • Generates vendor requests and payments.

  • Solves problems effectively and escalates issues as needed.

  • Contributes to development and enhancements of processes and procedures and makes recommendations that ensure efficient office operations.

  • Ensures day-to-day operations, within role, align with departmental objectives.

  • Practices positive and engaging professional behavior.

  • Practices proper safety techniques in accordance with Center and departmental policies and procedures. Responsible for the reporting of employee/patient/visitor injuries or accidents, or other safety issues to the supervisor and in the occurrence notification system.  

  • Monitors and ensures compliance with all regulatory requirements, organizational standards, and policies and procedures related to area of responsibility. Identifies potential risk areas within area of responsibility and supports problem resolution process.

  • Performs other duties as required/requested/assigned.

May also perform these tasks:

  • Coordinates schedules, food, and equipment for luncheons, meetings, etc.

  • Prepares flight, hotel, and ground transportation reservations.

  • Accurately track monthly expenditures.

  • Provides assistance for sponsored events.

Required Minimum Education:

  • High school diploma or equivalent required.

Required Minimum Certification:

  • No minimum certification or license requirements.

Required Minimum Experience:

  • 2 years' experience supporting office support tasks.

Required Minimum Skills:

  • Must be proficient in Office 365.

  • Must be self-directed with good problem-solving and organizational skills.

  • High degree of judgement and independent decision-making.

  • Highly motivated with a positive attitude.

  • Takes responsibility for growing professionally and seek opportunities for improving skills.

  • Ability to plan, manage and evaluate multiple priorities.

Preferred Qualifications:

  •  Bachelor’s degree preferred.

Physical Demands:

  • Sedentary work involves sitting most of the time but may involve walking or standing for brief periods of time or exerting up to 15 pounds of force occasionally or a negligible amount of force frequently to lift, carry, push, pull, or otherwise move objects, including the human body.

Working Conditions:

  • No potential for exposure to blood and body fluids.
