The Travel and Hotel Reservations Manager is responsible for overseeing and managing day-to-day travel and lodging reservations for SEARHC staff, contractors, leadership, and guests. This role ensures accurate, timely, and cost-effective booking of air, lodging, and ground transportation while maintaining compliance with organizational travel policies. The position focuses on operational coordination, reservations oversight, vendor interaction, and customer service to support employee travel needs and lodging utilization.

Essential Duties and Responsibilities
Travel Reservations & Coordination:
- Manage and oversee all staff travel reservations, including airfare, lodging, and ground transportation.
- Coordinate complex and high-touch travel arrangements, including executive and leadership travel.
- Serve as the primary point of contact for travel-related inquiries, changes, and issue resolution.
- Ensure accurate traveler profiles, approvals, and documentation are maintained in the travel management system.
- Provide guidance and support to employees on travel policies, procedures, and booking processes.
Hotel & Lodging Reservations:
- Manage reservations and scheduling for organizational lodging facilities and contracted hotel inventory.
- Monitor room availability, occupancy levels, and reservation accuracy to ensure efficient utilization.
- Coordinate room assignments, extensions, cancellations, and waitlists as needed.
- Ensure lodging accommodations meet established standards for safety, cleanliness, and guest experience.
- Act as a liaison between guests, lodging staff, and external hotel partners to resolve reservation concerns.
Vendor Coordination & Systems Support:
- Work closely with third-party travel vendors and hospitality partners to ensure smooth reservation processes.
- Support system access, basic configuration, and user training for travel and lodging reservation tools.
- Escalate system or vendor issues as needed and track resolution.
Financial Tracking & Reporting:
- Coordinate with Finance and Accounting to ensure accurate billing, invoicing, and reconciliation of travel and lodging expenses.
- Track travel and lodging utilization data and assist with routine reporting related to reservations and spend.
- Identify basic cost-saving opportunities related to booking patterns and lodging utilization.
Supervision & Team Coordination:
- Supervise, train, and support travel and lodging reservations staff.
- Assist with scheduling, workload distribution, and coverage to ensure timely reservation support.
- Provide input for performance evaluations and ongoing staff development.
Additional Details:
Qualifications
- Bachelor’s degree in business administration, Hospitality Management, Travel Management, or a related field, or equivalent combination of education and experience. Minimum 7 years of experience in travel coordination, reservations, or lodging operations in lieu of Bachelor’s degree.
- Prior experience supervising or leading staff preferred.
- Strong organizational skills with attention to detail and accuracy.
- Excellent customer service, communication, and problem-solving abilities.
- Proficiency with travel booking systems and standard office software.
