Job Description Summary

The Transaction Administrator – Leasing provides day‑to‑day transaction tracking, lease administration, and workflow management support to the Asset Management team for the Manila lease portfolio. The role focuses on maintaining accurate databases, monitoring critical dates, tracking transaction fees, and ensuring lease workflows are updated in a timely and controlled manner.

About the Role:

  • Transaction & Workflow Management: Track all leasing transactions, maintain workflow systems, monitor progress, and flag risks or delays to Asset Managers while supporting internal approvals.
  • Lease Data & Systems Management: Update and maintain lease databases with accurate terms, perform data quality checks, and support system improvements or migrations.
  • Fee Tracking & Financial Support: Track leasing-related fees, maintain fee trackers, coordinate with Finance, and assist with expense reconciliation and reporting.
  • Critical Dates & Reporting: Manage critical date trackers, produce regular reports, and proactively highlight upcoming lease events to support timely decisions and compliance.
  • Asset Management Administrative Support: Provide administrative and reporting support, assist with forecasts and budgets, and maintain organized electronic lease documentation.

About the Role:

  • Bachelor’s degree in a related field with 1–3 years of relevant experience in leasing support, asset management administration, or transaction operations; commercial real estate exposure preferred.
  • Experience in transaction administration, asset management operations, or lease administration with strong understanding of lease lifecycle processes and advanced Excel skills.
  • Proficient in using trackers, reconciliations, and reporting tools; experience with lease management or workflow systems is an advantage.
  • High attention to detail, strong data management discipline, and ability to manage multiple transactions in a deadline‑driven environment.
  • Strong organizational skills with the ability to coordinate across teams and manage competing priorities effectively.
