Temporary Export Coordinator

Reporting to the Supply Chain Manager, this role is responsible for ensuring compliance with global trade regulations, preparing and verifying export documentation, coordinating customs clearance and logistics, managing inventory through ERP systems, and mitigating risks associated with international shipments. The Export Coordinator will also monitor performance metrics, control export-related costs, resolve operational issues, and collaborate across departments to ensure timely and accurate delivery of goods to global customers.

Job Description:

This role plays a crucial role in managing and overseeing the export activities of a company. The responsibilities are:

Compliance Management:

  • Ensuring that all export activities comply with international trade regulations, export control laws, and company policies.

  • Staying updated on changes in export regulations and implementing necessary adjustments.

Documentation:

  • Preparing and managing all necessary export documentation, including; tax invoices, packing lists, bills of lading, certificates of origin, SADC, and export licenses.

  • Ensuring accuracy and completeness of all export documents.

Customs Clearance:

  • Coordinating with customs brokers and agents to ensure timely and efficient customs clearance of goods.

  • Handling any issues or delays that may arise during the customs clearance process.

Logistics Coordination:

  • Planning and coordinating the transportation of goods to international destinations.

  • Selecting and managing relationships with freight forwarders, carriers, and other logistics service providers.

Risk Management:

  • Identifying and mitigating risks associated with international shipping, such as delays, damage, or loss of goods.

  • Ensuring proper insurance coverage for exported goods.

Inventory Management:

  • Monitoring inventory levels to ensure sufficient stock is available for export orders.

  • Coordinating with production and warehouse teams to manage inventory flow.

  • Utilising the company's ERP system to extract the necessary information on inventory to facilitate the smooth export of products to customers.

Internal Communication:

  • Communicating internally regarding order status, shipping details, and any potential issues.

  • Communicate internally to address inquiries and resolve problems.

Cost Management:

  • Managing and optimizing export-related costs, including transportation, customs duties, and tariffs.

  • Negotiating rates with logistics service providers to achieve cost savings.

Performance Monitoring:

  • Tracking and analysing key performance indicators (KPIs) related to export activities, such as on-time delivery rates, shipping accuracy, and compliance rates.

  • Implementing improvements based on performance data.

Training and Development:

  • Providing training to staff on export procedures, compliance requirements, and best practices.

  • Staying informed about industry trends and developments to enhance export operations.

Problem Resolution:

  • Addressing and resolving any issues that arise during the export process, such as shipment delays, customs hold, or documentation discrepancies.

  • Implementing corrective actions to prevent the recurrence of issues.

Other duties:

  • Perform other duties related to the role as required.

These responsibilities ensure that the export controller effectively manages the export process, maintains compliance with regulations, and supports the company's international trade activities.
