The Administrative Associate position, located in the Education Abroad (EA) unit of Texas Global, is dedicated to supporting international student mobility for a specific program modality. The position reports to the Assistant Director for exchange and affiliate programs and regularly meets with colleagues to support international education processes for sending UT Austin students abroad. Purpose and Scope: Responsible for communication with students and administration of the portfolio of affiliated partner programs. Duties include application review and selection, support of pre-departure and re-entry sessions, coordination with domestic and international partners, and associated administrative tasks
Manage a portfolio of affiliate programs and ensure the completion of administrative processes associated with the successful delivery of these programs. Build and maintain professional relationships with key constituents to ensure students successfully complete all approvals and compliance associated with affiliate provider program participation. Serve as the primary contact for students and domestic and international providers/partners. Collaborate with Program Coordinators to advise, admit, and prepare students for assigned programs. Provide students with limited appropriate guidance on program selection and application through email communication.
Support Program coordinators to design and execute information sessions, pre-departure orientations, and returnee sessions, individually or as a team. Work independently and in collaboration with Texas Globals Marketing and Communications team and assistant directors to develop marketing materials for fairs, tabling opportunities, events, presentations, and poster events, especially to support mobility to programs in the assigned portfolio.
Ensure the completion of administrative processes associated with the functions above. Participate in staff meetings, special projects, and committees, including academic-focused working groups and office-wide strategic planning and policy development. Contribute as needed to help manage student incidents abroad in collaboration with Education Abroad leadership and Texas Globals Global Risk and Safety team
Bachelor's degree, one year of experience at the Administrative Assistant level, or high school graduation or GED, and five years of clerical experience, including one year of experience at the Administrative Assistant level. Proficiency in examining, organizing, and reporting information in an accurate manner. Excellent interpersonal, communication, organizational, and writing skills. High level of professionalism. Attention to detail. Ability to prioritize responsibilities and manage multiple concurrent projects. Ability to learn new technology tools and applications. Proficient in MS Word and Excel. An equivalent combination of relevant education and experience may be substituted as appropriate.
Bachelor's degree with at least one year of experience with clerical functions. Proven problem-solving skills. Demonstrated use of initiative and judgment. Ability to work independently and as part of a team. Experience providing support in a customer service environment with excellent customer service skills. Experience with international education administration. Experience working with the University of Texas policy and procedures. Advanced skills in Microsoft Excel, Canvas, or Asana. Advanced skills in using the mainframe and course inventory systems. Experience working with university students and faculty members. Experience studying or living outside of the U.S.

Work hours are from 8:00 a.m. to 5:00 p.m.
The employee can start work hours earlier or end work hours earlier with prior approval, as long as the work hours are completed between 7 AM and 7 PM. The employee will work from home one day per week.
