[What the role is]

Administrative and logistics support

[What you will be working on]

Providing administrative and logistics support assistance for:

(a) Graduation Ceremony Administrative preparations e.g. graduation microsite, invites and follow up to VIP/corporate guests

- Coordination with vendors and logistic workers

- Review of improvement areas and implementations

- Procurement, including coordination on calling of tender/ Request of Quotations, review for extension of procurement contracts e.g. graduation attire, refreshment, photography, logistic setups

(b) Secretariat support for:

- Major meetings (e.g. Board of Governors, Polytechnic Principals)

- Board matters, including appointment renewal, collation of contributions

(c) Support division’s operational areas while staff are involved in preparations for the new student disciplinary system and data migration

(d) Assist in the new student disciplinary system’s preparation, including data migration and testing

(e) Recordkeeping of division’s key work areas, including physical file inventory, hardcopy file disposal, course registry

(f) Other ad hoc projects

[What we are looking for]

  • Candidates with at least 3 years for relevant work experience would be required
  • Meticulous, collaborative attitude and a good team player
  • Good communication (written and spoken), interpersonal, coordination and administrative skills
  • Able to multi-task and manage projects within deadlines
  • IT savvy and proficient in Microsoft Office applications such as Excel, Word and PowerPoint
