JOB SUMMARY: Develop, track, and ensure timelines of all departmental project plans. Provide detail reports for all departmental spending activity.
REPORTS TO: TECHNICAL SERVICES MANAGER
ESSENTIAL RESPONSIBILITIES:
- Strong P.C. Skills (Knowledge and application of MS Word, Excel, Access, MS Project, and MP2 Computerized Maintenance Management System)
- Ability to build data bases from scratch, edit and modify existing data bases and link data base information to spreadsheets in “Excel”; build graphs and interpret data
- Coordinate and communicate all projects within the department and external to the department
- Ensure adequate resources are in place to ensure completion dates are maintained
- Track all projects, ensure tasks/milestones are completed on time and keep all stakeholders appraised of project status
- Receive and evaluate bids from contractors and vendors.
- Track and manage capital budgets, providing weekly reports to stakeholders
- Audit General Ledger activity and reconcile to committed spending reports
- Typing of letters, memos, EPA’s, reports and meeting minutes
- Prepare and distribute daily and monthly production logs, spreadsheets and reports for internal and external company personnel
- Maintain department /facility files, records and correspondence
- Track, process and order area supplies
- Code and process all supply invoices
- Track and log all non-labor purchases
- Track all labor and provide weekly reports to stakeholders
- Input, track and make recommendations for improvement for customer feedback forms
- Assist with budgetary planning
- Assist in compiling data and type annual labor and non-labor budgets for facility personnel
- Type and distribute confidential data
- Compose and type business correspondence
- Substantial telephone transactions
- Process temp agency invoices if applicable
TECHNICAL SERVICES ADMINISTRATIVE ASSISTANT MARGINAL RESPONSIBILITIES:
- Perform other work area functions as needed to accommodate changing workload priorities
COMPREHENSIVE REQUIREMENTS:
- Must maintain a high degree of business confidentiality
- Former experience in managing and coordinating projects
- 2 years demonstrated experience in word processing and spreadsheets (Word, Windows, and Excel)
- Type 50 W.P.M. with less than 10% errors
- Excellent accounting skills to include understanding of capital vs. expense, depreciation, credits and debits
- Ability to manage multiple projects at once
- Ability to work with a diverse group of people within a team atmosphere
- Strong written and verbal communication skills
- Financial skills (familiarity with corporate accounting methods, account coding, committed funds, float, general ledger activity, reconciliation, etc.)
- Ability to work with little supervision
- Strong time management skills
- Strong analytical skills
EDUCATION:
- Associate's degree in business or equivalent work experience
- A minimum of 3 years secretarial experience
TECHNICAL:
- Demonstrated.MS Project skills (Minimum of 2 years experience with Microsoft Project, including resource leveling and special reports)
- Strong PC application skills
- Operation of (RF) handheld scanner and P.C.
