Key Responsibilities:
The purpose of this position is to ensure that someone is responsible for ensuring and maintaining stock levels of TB and HIV drugs and medical supplies at all levels at the region, ensuring constant supply of drugs and laboratory commodities, ensuring TBHIV Drug Quality Assurance (QA) through ensuring proper storage condition and warehouse practices and assist the National PSM Coordinator in providing the necessary trainings and updating the guidelines for PSM support for the NTP & HIV Programs. The Regional PSM Coordinator will be deployed to the Area Medical Store (AMS), Badili. He/She will work closely with NPSMC, NDoH (MSPD, PSSB, NTP, HIV Programs), Provincial Health Authorities, TB Basic Management Unit Sites (BMUs), ART sites and donor partners.
MAJOR ROLES & RESPONSIBILITIES
- Ensure the supply chain for TB and HIV commodities including TBHIV Lab commodities are consistent and available at all times.
- Effective communication with partners and stakeholders (TB/HIV Programs, MSPD,CPHL, PSSB,WHO, PHA/PHO and ART sites)
- Forecast demand for drugs whilst monitoring stock levels for respective facilities, provinces.
- Coordinate with CPHL and Provinces on Lab commodities requirement for distribution.
- Ensure stock inventory is available and maintained in respective provinces and facility level in the form of stock card and msupply,
- Execute quarterly/ monthly distribution of TB & HIV drugs plus buffer stocks. This includes stock data review and calculation of Current stock availability verses the consumption and issuance data from respective TB/HIV Sites. This includes Lab commodities for TB/HIV
- Conduct monthly monitoring of provincial and facility stocks for both TB & HIV commodities.
- Conduct Quarterly stock take of both TB & HIV commodities at Badili, AMS.
- Removal of Expired Stocks in warehouse, making adjustment to mSupply accordingly
- Utilize, maintaining and updating mSupply for managing TB/HIV commodities (inventory, stock take, distribution and procurement).
- Overseeing the movement of incoming and outgoing shipment (Including Covid-19 procurement under GF) from AMS badili to TB/HIV sites and Covid station.
- Provide technical assistance to store man/Gov logistics staff at AMS Badili and health facility personnel at provincial level.
- Conduct regular (quarterly) supervisory visits to provinces for monitoring and provision of technical assistance in management of TB & HIV commodities
- Ensure Quality Assurance for TB/HIV Drugs
- Maintain good storage condition & area conducive for TB & HIV drugs at AMS ensuring proper warehousing, storage and distribution practices is implemented and maintained.
- Conduct drug sampling activity whenever required for QC testing
- Ensuring and Maintaining quality throughout the logistics process.
- Ensure all operations for PSM related administrative and technical activities are in place
- Maintain appropriate filing systems to ensure information on all areas of implementation, as well as transactions, are readily available.
- Ensure security protocols and procedures are followed in the day to day operation of National office.
- Maintain an activity log, recording details of field visits.
- Prepare and provide quality and comprehensive Supervisory visit report.
- Prepare and provide monthly progress reports to NPSMC Coordinator.
- Undertake all program related activities as directed by the National TB & HIV program
- Develop and maintain good working relationships with the project partners, sub recipients, and key stakeholders including LFA
EDUCATIONAL QUALIFICATION/SKILLS, KNOWLEDGE & EXPERIENCE
- Degree in Pharmacy and or PSM degree or similar
- Knowledge of pharmaceutical warehouse management, drug management, inventory, procurement & supply as well as drug logistics.
- Should have excellent organization, communication and interpersonal skills
- Team player and capacity to deliver the services in constricted timeframes.
- Experience in the usage of computers and officer software packages (MS Word, Excel, Power Point)
- 3 years’ work experience in o Pharmacy field or similar.
- Physically fit with no underlying medical conditions.
- Good communication skills in written and spoken English
- The position requires might require traveling to the Area program
- Be available to work weekends and on short notice.
