Position Summary:

Under the supervision of the Human Resources Advisor, the Talent Acquisition Administrator, provides a full range of human resources support in accordance with the focused annual objectives of Comparative Medicine and Animal Resources Centre (CMARC) and Animal Compliance Office (ACO). Administer a variety of human resources tasks, such as recruitment, onboarding, compensation, benefits, pension, records and performance dialogue tracking. 

Under the supervision of the HR Advisor, the Talent Acquisition Administrator is responsible for all aspects of recruitment: planning, assessing candidates for positions, sourcing and recruiting high quality internal and external candidates and contributing to an online/social media presence.

The incumbent’s primary goal will be to deal with retention at CMARC by developing a career path at CMARC and contributing to employee wellness projects.  The incumbent will also be responsible for attracting quality candidates by carrying out sourcing practices using social media tools including LinkedIn, Facebook, Instagram, etc. to attract candidates.


Primary Responsibilities:

  • First point of contact for Workday related action items in support for employees, hiring managers and the HR Advisor.  Responsible for administering a high volume of Workday business processes (e.g. temporary/developmental assignments, leaves, full cycle recruitment, retirements, base salary adjustments and allowance plans, etc.).
  • Participate in the review of job requisition requests to determine the need of the position within the unit. Perform the full cycle of recruitment for regular and casual staff, including but not limited to MUNACA employees, AMUSE and Work Study positions. Collaborate with hiring managers on job descriptions, creating postings (internal and external websites), scheduling and conducting interviews, checking references and initiating offers, and making hires.
  • Perform duties related to on-boarding of new employees /or transfers from other units. Provide support and WD assistance and basic navigation training. Responsible for the Welcome day (onboarding of new staff at CMARC).
  • Provide guidance and oversight in the onboarding, orientation and probation review process. Keep track of the performance of the employee during the probation and trial period.
  • Administer and provide guidance on leaves (disability leaves, maternity, parental, extended parental) and act as a backup to receive medical information. Update departments accordingly about employee leaves.
  • Draft and distribute announcements to provide information to managers and staff with respect to a variety of human resources policies and procedures ensuring compliance, in collaboration with the HR Advisor.
  • Ensure equitable salary offers, BSA requests and promotions within CMARC
  • Collaborate with the Human Resource Advisor on ensuring the necessary staff coverage during winter and summer holidays.
  • May manage LENEL card access.
  • Work on special projects and assignments as requested by the Human Resource Advisor.
    Perform other duties as require
  • Working knowledge of applicant tracking systems, knowledge of Workday.


Other Qualifying Skills and/or Abilities

  • Minimum 1 year of experience in full-cycle recruitment of MUNACA positions.
  • Education in Human Resources recognized in Canada.
  • Minimum 1 year experience with Workday recruitment tools.
  • Experience working in a unionized environment.
  • Progress toward or possession of a recognized HR designation (e.g., CRHA/CHRP).
  • Experience supporting equity, diversity, and inclusion initiatives in recruitment.
  • Proven knowledge of human resources policies and procedures, preferably in a university setting.
  • Demonstrated eagerness to learn, improve, and excel in human resources functions.
  • Proven ability to mobilize engagement initiatives within a department and be a credible influential change contributor.
  • Ability to multitask and work on several projects at the same time, under strict deadlines while ensuring strong attention to detail.
  • Strong problem solving, diplomacy, and organizational skills.
  • Superior customer service skills and ability to provide a wide range of information and advice to internal and external clients.
  • Able to build strong collaborative working relationships with managers at all levels and within a team.
  • Demonstrated ability to adjust to changing priorities and deadlines and to problem-solve.
  • Ability to show initiative while working in a structured environment.
  • The position follows a hybrid work model; employee must be flexible to work 3–5 days per week on-site depending on operational needs.
  • This position supports recruitment for staff working in animal care environments, including roles responsible for the care and handling of live animals used in research and teaching activities. The employee must be comfortable working in and supporting recruitment for this type of environment.
