Overview
To plan, organize, direct, supervise and manage the City of Sarasota’s municipal tennis center and surrounding Payne Park areas and amenities, including staff, patrons, and activities. Responsible for administering, monitoring, and evaluating programs, activities, and special events for various ages at the municipal tennis center and surrounding Payne Park areas and amenities.
Essential Functions
Promotes daily usage of the municipal tennis center and expansive activity at the surrounding Payne Park areas and amenities.
Plans, directs, supervises, and assist with a variety of tennis programs and events for all age groups at the Tennis Center.
Assists in the promotion and development of programs and activities with civic and other groups to create interest and obtain participation in tennis programs, activities and City sponsored special events.
Coordinates and maintains schedules and contracts of all leagues, programs, activities, special events, and use of space leases.
Prepares and administers Tennis Professionals’ tennis lesson contracts including court schedules and conduct.
Coordinates with all lessees of events and ensures set up and scheduling is per the contract and coordinates supervision of events.
Plans, promotes, and instructs tennis camp and clinics as a revenue source for the Tennis Center.
Takes the lead in the planning and operation of leagues, programs, activities, and City sponsored special events.
Prepares and submits weekly performance reports.
Conducts and documents weekly Tennis Center safety/maintenance inspections, submits work order requests as required, and follows through with corrective solutions.
Assists personnel with repairs to equipment, grounds, and facilities. Schedule vendors for repairs beyond staff ability.
Arranges for equipment and supplies as needed for daily operations, programs, and activities at the Tennis Center.
Coordinates with and manages outside vendors that are used for services or events at the Tennis Center.
Assists in providing a healthy and safe environment for the general public visiting the facility, addresses safety issues, and reports issues to the manager.
Responsible for maintaining accurate sales receipts, point of sales function and cash handling.
Assists with preparing and managing budget for center, including forecasting, revenues, and expenditures.
Works within established budget and assists the manager with achieving annual revenue goals.
Maintains merchandise for resale orders and re-orders inventory.
Uses the City’s Financial Management System (FMS) to create purchase orders, monitor budget (revenue and expenses), reconcile purchases, and a variety of other financial functions.
Responsible for maintaining an accurate tennis court reservation system.
Supervises, schedules, and evaluates work performance of staff by required deadlines.
Conducts formal and informal training sessions with Tennis Center staff as necessary.
Conducts proper onboarding and orientation for new Tennis Center employees.
Establishes work schedules to assure timely completion of work activities by self and staff.
Assists with court maintenance and special projects at the Tennis Center.
Creates monthly tennis staff schedules to assure proper coverage, oversees staff attendance, and addresses issues.
Maintains tennis staff time and work records in the City’s timekeeping system, frequently reviewing and correcting discrepancies, and prepares bi-weekly payroll for approval.
Ensures adherence to City, Department, and Tennis Center policies, procedures, and practices.
Interacts with diverse levels of internal and external personnel to develop and maintain effective communication to resolve issues and inquiries.
Holds weekly or bi-weekly staff meetings and daily staff briefings to exchange information on current duties, projects, department, and employment topics.
Works closely with all staff, attending meetings, seeking input on policies and guidelines prior to implementation, and being cognizant of deadlines and budgetary constraints.
Maintains courteous relationships with the public, vendors, contractors, and anyone served by the Tennis Center and tactfully, consistently, and efficiently respond to complaints, concerns, and issues that may arise.
Ensures that a high level of customer service is provided by all staff to patrons of the Tennis Center.
Responds to complaints from public and/or patrons and follows the appropriate procedure for follow-up.
Responds to all telephone calls, emails, letters, and inquiries promptly.
Maintains office files and keeps records; assembles information from various sources for records and reports.
Checks and reviews a variety of data for completeness, accuracy, and conformance with established regulations and procedures; prepares a variety of routine reports.
Covers front desk during peak periods and staffing shortages.

Minimum Qualifications
Associate's Degree from an accredited college with course work in, sports management, recreation and parks administration, or closely related field which would provide the necessary knowledge, skills and abilities,
Five (5) years of experience in tennis operational activities and associated facility administration,
Experience with other recreational and/or leisure time activities in addition to Tennis is a plus,
At least two (2) of the five (5) years at a supervisory level,
Possession of and ability to maintain a valid State of Florida Driver’s License is required,
Requires CPR/AED certifications within six (6) months of hire,
Certification from the U.S. Professional Tennis Association (USPTA), preferred.

Considerable knowledge of the current trends, principals, and practices of tennis, with emphasis in initiating, planning, developing, and executing specialized tennis activities and other programs at a municipal tennis center.
Considerable knowledge of facilities and supplies required to carry out tennis programs and special events.
Considerable knowledge of research techniques and of the available sources of information.
Ability to work changing and irregular shifts, evenings, weekends, and holiday hours.
Ability to enforce rules and regulations with tact, firmness, and impartiality and to resolve differences of patrons and staff.
Ability to utilize creativity and imagination in the development of programs in tennis.
Ability to work with different segments and varying age groups of the community.
Ability to train, guide, and supervise a staff of subordinates and volunteers.
Ability to use Microsoft office products, point of sales system, and court reservation system.
Ability to make decisions in accordance with rules, regulations and established policies and procedures.
Ability to express oneself clearly and concisely, orally and in writing.
Ability to analyze facts and to exercise sound judgment and to arrive at conclusions.
Ability to understand and to follow complex oral and written instructions.
Ability to understand, operate and develop computer management programs necessary to the ongoing operation of the Tennis Center and department.
Ability to establish and maintain effective and courteous working relationships with other employees and the general public.
Organization Status/Supervisory Responsibilities
Under the direction of and responsible to the Department Head or designee. Supervises Tennis Center staff.
Physical Requirements
This is medium work requiring exerting up to 50 pounds of force occasionally and up to 20 pounds of force frequently. Work requires considerable physical activity including walking, lifting, reaching, stooping, pulling, grasping, balancing, climbing, kneeling, standing, and crouching. Incumbent is subject to inside and outside activities with no effective protection from weather changes, noise, vibrations, job hazards, and atmospheric conditions. Visual acuity is required to operate automotive equipment and inspect work performed by crews. Incumbent is also required to hear sufficiently to perceive information at normal spoken word levels. Manual dexterity is required to operate equipment in performance of duties.
