Make your impact within a rapidly growing Fintech Company
BILL has experienced substantial growth within our technology vendor and application ecosystem as part of our Cloud First initiative. To ensure we manage this growth strategically, we are looking for a Leader for the IT and Infosec Vendor Management Office (VMO) to define the strategy, lead the team, and oversee all aspects of vendor spend, governance, and value realization across IT and Security vendors.
This is a leadership role responsible for directing the strategic roadmap of the VMO, managing key stakeholder relationships, and ensuring the efficient use of our technology investments, including key responsibilities in budgeting, forecasting, application rationalization, and leading vendor ownership and major contract negotiations.
Responsibilities:
- Budgeting and Forecasting Ownership
- Own and manage the entire IT Opex budget and financial forecasting cycle for IT/Security (~$20M+).
- Partner with Finance to deliver accurate, single-view reporting on spend, savings, and forecast for executive leadership reviews.
- Own the T&E approval process for IT financials.
- Application Portfolio & Rationalization Strategy
- Define the strategy and lead all application portfolio and rationalization initiatives, ensuring clear governance for the approved software catalog.
- Achieve recurring reduction targets (e.g., 5%+) with a focus on eliminating overlapping tools and underused licenses.
- Vendor Ownership and Contract Negotiation Leadership
- Lead all major contract negotiations and sourcing strategies to achieve ambitious cost savings targets (10–15%+) across the IT/Security software portfolio.
- Own and lead strategic vendor relationship management for all key IT/Security vendors, including executive Quarterly Business Reviews (QBRs), health checks, issue escalations, and roadmap alignment.
- Support the VAR consolidation program, coordinating stakeholders and helping document comparative scoring and decisions.
- Renewal Strategy and Oversight (IT & Security software)
- Provide strategic oversight for the end-to-end coordination of all renewals, including timelines, pre-renewal assessments, and stakeholder alignment (IT, Security, Procurement, Legal, Finance).
- Ensure each renewal has a clear business owner, usage story, and cost/term decision.
- Software Procurement Policy & Governance
- Own the strategic direction and enforcement of the Global Software Procurement Policy (P.IT.002), driving governance standards and reducing shadow IT spend.
- Review and validate license justifications, right-size usage, and help eliminate inappropriate credit-card software purchases.
- VMO Intake, Workflow, and Tooling
- Direct the management and optimization of VMO intake, workflow, and tooling (Jira/JSM, ITAM, SaaS platforms) to ensure consistent data and efficient operations.
- Define and operate clear swim lanes between VMO and ITAM for software assets, license lifecycle, and inventory accuracy.
- VMO & ITAM Analytics and Dashboards
- Drive the implementation and adoption of the VMO dashboard and analytics as the single source of truth for vendor and spend management for executive decision-making.
- Build and maintain regular metrics and savings views for IT leadership (e.g., monthly/quarterly portfolio and savings story).
- Executive Stakeholder Communications
- Serve as the executive-level VMO leader and communication channel for IT and Security stakeholders, routing questions, clarifying process, and setting expectations.
- Draft and deliver clear communications on license optimization, vendor changes, and tooling decisions (e.g., Office 365 or collaboration tooling changes).
We’d love to chat if you have:
- 7+ years of progressive experience leading software vendor management, IT procurement, or IT Asset Management (ITAM) functions for a mid-to-large technology or SaaS organization.
- Demonstrated ability to define and run structured renewal processes at scale, ensuring strategic alignment and cost-saving objectives.
- Proven track record in leading contract negotiations and sourcing strategies resulting in substantial (10%+) cost savings.
- Expertise in data and tooling, having leveraged systems like Jira/JSM, Coupa (or other procurement tools), and SaaS/ITAM platforms to drive executive decisions and reporting.
- A history of defining and executing application rationalization strategies that successfully reduce portfolio size without impacting business operations.
- Strong experience establishing and maturing cross-functional partnerships with Procurement, Legal, Security, Finance, and application owners.
- Clear, professional written and verbal communication skills, comfortable drafting policy, and delivering executive-level presentations.
- A bias toward structured, repeatable processes and robust dashboard reporting rather than ad-hoc one-offs.
