Job Description
The Senior Coordinator, Legal Recruiting supports Weil’s strategic attorney recruiting efforts and delivers high-touch coordination across law student recruiting, the summer associate program, and lateral associate hiring. This role partners closely with recruiting leadership, Hiring Committee stakeholders, attorneys, and professional services teams to ensure an exceptional candidate experience, process discipline, and accurate data management and reporting. The Senior Coordinator exercises sound judgment, discretion, and initiative while managing multiple priorities in a fast-paced, confidential environment.
Primary Responsibilities and/or Essential functions:
Law Student Recruiting & Campus Relations
- Serve as an ambassador of the Firm with candidates, law schools, student organizations, and vendors; maintain a polished and responsive candidate experience.
- Support pre-recruiting pipeline and branding initiatives, including event coordination, sponsorship logistics, and targeted outreach programming.
- Maintain candidate records in viRecruit (or successor ATS), ensuring timely status updates, document management, and data integrity.
- Coordinate end-to-end interview logistics (virtual and in-person), including complex scheduling, materials preparation, hospitality, and candidate day management.
- Support On-Campus Interviewing (OCI), job fairs, and direct-apply processes: registrations, calendars, attorney schedules, interview packets, and follow-up.
- Solicit interview feedback, compile evaluation summaries, and prepare reports for recruiting leadership and Hiring Committee review.
- Draft and process candidate correspondence (interview confirmations, offers, rejections, and related communications) consistent with Firm standards.
Summer Associate Program
- Coordinate summer program logistics and calendars, including orientation materials, training sessions, attorney handbook content, rotation/assignment tracking support, and evaluation processes.
- Plan and execute summer associate events and social programming in coordination with stakeholders, including invitations, attendance tracking, venues, budgets/expenses, and vendor management.
- Support summer associate communications prior to arrival and throughout the program; assist with binder/gift preparation and program collateral.
- Support weekly work report meetings and evaluation collection; compile packets and maintain accurate program documentation.
- Help ensure a consistent, inclusive experience for summer associates by facilitating interaction with attorneys and coordinating program touchpoints.
- Lateral Associate Recruiting
- Support lateral associate recruiting processes, including interview scheduling, materials preparation, and candidate management within viRecruit.
- Track search firm submissions and maintain organized candidate files; coordinate communications with external recruiters as needed.
- Gather interviewer feedback, compile evaluation summaries, and assist with offer and disposition correspondence.
- Partner with recruiting leadership and relevant teams to support onboarding logistics and integration activities for incoming lateral hires.
- Data, Reporting, Surveys & Market/Process Support
- Maintain recruiting trackers and dashboards; prepare statistics, reports, and presentation materials for recruiting meetings and Hiring Committee/leadership stakeholders.
- Assist with annual surveys and publications (e.g., NALP, Chambers, Vault and other firm profiles), including data collection, drafting support, and deadline management.
- Monitor recruiting inboxes and shared calendars; inquiries, flag issues, and ensure timely follow-up.
- Support process discipline and compliance with applicable employment laws and firm policies; handle confidential information with discretion.
- Support recruiting budgets and expense tracking, including reimbursements, invoices, and corporate card back-up administration as assigned.
Branding, Outreach & Candidate Experience
- Support recruiting marketing collateral and content in partnership with internal teams (e.g., brochures, invitations, web updates, social media support, photography/video coordination)
- Coordinate law school and affinity group events, receptions, and networking programs; manage logistics, communications, and post-event follow-up.
- Represent the Firm at recruiting and outreach events as needed, including frequent evening and occasional weekend commitments.
Any additional responsibilities as required by management.
Knowledge, Skills & Abilities:
- 3+ years of experience in legal recruiting (law student/campus and/or lateral) within a large law firm or professional services environment strongly preferred.
- Demonstrated proficiency with applicant tracking systems (e.g., viRecruit) and Microsoft Office (Outlook, Excel, Word, PowerPoint); comfort learning recruiting and interview platforms.
- Exceptional organizational skills; ability to manage multiple projects, deadlines, and shifting priorities with strong attention to detail.
- Strong written and verbal communication skills; professional presence with the ability to interact effectively with attorneys, candidates, and external partners.
- Proficiency in Microsoft Excel and comfort using other tools such as: SharePoint, PowerPoint, etc.
- High degree of discretion and judgment; ability to handle sensitive and confidential information.
- Customer-service mindset and ability to remain calm and solution-oriented under pressure and frequent interruptions.
- Proactive, self-directed approach; anticipates needs and identifies solutions without extensive direction.
- Team-oriented collaborator who models respect, inclusiveness, and effective work practices; able to provide guidance to junior team members when assigned.
- Needs to be flexible to work overtime as needed including frequent attendance at recruiting related events.
Education/Certifications:
- Bachelor’s degree required.
Estimated hourly rate is $49.45 - $57.69 ($90,000- $105,000 annually). This position is overtime and bonus eligible. Compensation decisions within the range are dependent on the facts and circumstances of each case including but not limited to the individual's skills, experience, and qualifications.
