About the Role
As a Shared Service Specialist, you will play a crucial role in ensuring the smooth operation and efficiency of the Legal & Compliance department on a global scale. You will be responsible for providing comprehensive strategic support to the Legal & Compliance (L&C) department. This role involves managing high-level operational projects, designing and deploying legal technology tools to enhance efficiency. Additionally, you will independently handle certain cross-regional collaboration and policy alignment, ensuring smooth operations within the department. This role requires excellent communication skills, an in-depth understanding of legal strategy and operational processes, and the ability to work collaboratively with cross-functional teams worldwide and closely with outside counsel and technology vendors. The ideal candidate will be proactive, detail-oriented, and capable of working independently in a fast-paced legal and regulatory environment. They must routinely provide strategic recommendations to complex problems by leveraging their expertise in contract law, legal operations, litigation management and technology to drive the organization’s legal strategies and initiatives to success.
You will be an integral member of the Legal Shared Services team, collaborating closely with various practice groups within the legal and compliance department, as well as with stakeholders from different business teams. In this role, you will report to VP, Legal Shared Services.
What You Will Do
- Manage Self-Service Portal:
- Design and Implement Advanced Self-Service Portal: Develop and manage a sophisticated self-service portal, including comprehensive FAQs, to empower internal clients to handle routine tasks independently. This portal will be designed with advanced features and user-friendly interfaces to ensure seamless access to information and services.
- Strategic Review and Assignment: Conduct thorough, independent reviews of requests that cannot be resolved automatically through the self-service portal. Utilize strategic decision-making to assign these requests to the appropriate practice group, ensuring efficient and effective resolution. This process involves a deep understanding of the various practice groups' expertise and the ability to coordinate complex workflows and make high level recommendations to attorneys and senior staff.
- Provide comprehensive legal support to the L&C department by regularly exercising critical thinking and complex problem-solving skills, including:
- Create templates, standardize documents, and the formatting guidelines as requested by the L&C department for purposes of creating efficiencies and reducing redundancies.
- Manage POAs, ensuring they are accurately documented, updated, and compliant with legal requirements. This requires a broad understanding HARMAN’s delegation of authority and independent thinking to make situational decisions based on various fact patterns and regional jurisdictional complexities.
- Manage the GEMS corporate entity database with the most current information, handle corporate secretarial activities, and maintain global entity organization charts and lists of directors and officers by entity.
- Manage GTS escalations, maintain the legal dashboard, and handle global supplier compliance and notice letters related to General Terms and Conditions (GTC). This involves complex problem-solving and coordination with various senior level stakeholders.
- Support for Investigations and Legal Discovery: Provide critical assistance for internal and investigations, subpoenas, litigation discovery, and internal discovery. Must be able to analyze a variety of legal request and make complex recommendations about how or if to provide requested data. This includes collecting, reviewing, and submitting data and documents from internal systems and custodians in response to these requests, ensuring accuracy and compliance with legal standards.
- Lead the creation and preparation of sophisticated reports from various systems, by analyzing complex information from multiple sources
- Lead the Training and Knowledge Sharing Management:
- Utilize advanced data analytics to assess the effectiveness of training programs, recommend training / course criteria after identifying areas for improvement.
- Create and manage a sophisticated centralized knowledge hub that facilitates easy access to data and stay apprised of best practices, templates, and critical information for purposes of continuous improvement.
- Design and Implement Tailored Training Plans: Propose and develop comprehensive training plans tailored to the specific needs of various business teams. Manage training sessions, ensuring seamless collaboration between trainers from each practice group and the requesting business teams. This involves strategic planning, resource allocation, and continuous evaluation to ensure the training programs meet the highest standards of quality and effectiveness.
- Develop and manage New L&C joiners Process:
- Centralize the On-boarding Process: Oversee and streamline the comprehensive on-boarding process for new hires within the L&C department, ensuring a seamless integration into the organization.
- Develop Comprehensive Guidebook: Create an in-depth guidebook for new hires that provides detailed insights into the company, the L&C structure, and their specific roles. This guidebook will serve as a critical resource to help new employees quickly acclimate and become productive members of the team.
- Conduct Specialized Training: Design and deliver advanced training programs on the use of legal systems, departmental processes, and other essential tools. This includes providing ongoing support and mentorship to ensure new hires are fully equipped to perform their duties effectively.
- Provide comprehensive operational and strategic support to the L&C department,
- Lead the creation and closure of matters in the legal tracker, conduct thorough reviews of tracker matters account codes, and update and maintain the Finance Billing Code File. This requires a deep understanding of legal processes and financial management to ensure accuracy and compliance.
- Act as a liaison between outside counsel and other vendors and internal staff to ensure effective onboard and close out of litigation and other complex legal matters.
- Oversee the complex onboarding process for vendors and contractors in multiple systems, including SAP, VDI, PROCOM, and Ariba. This task demands meticulous attention to detail and the ability to navigate and manage various platforms efficiently.
- Maintain and update the L&C page on Harman Hub, ensuring that all content is relevant, up-to-date, and easily accessible. This requires a strategic approach to knowledge management and the ability to curate and organize information effectively.
What You Need to Be Successful
- 5+ years of relevant experience in a corporate, shared services, or law firm environment.
- Strategic Mindset, excellent analytical, change management, organizational, and problem-solving skills; proficiency in legal software and technologies; strong communication and collaboration abilities; independent decision-making; and critical thinking.
- Certification or advanced training in contract management, compliance, or legal technology is a plus.
- Comprehensive knowledge of legal terminology, contract structures, and corporate governance.
- Experience in conducting legal research.
- Comprehensive knowledge of procedures related to investigations, subpoenas, and litigation discovery.
- Experience in using systems like legal tracker, GEMS, and legal dashboards.
- Competence in identifying, bidding, deploying, and managing legal automation tools and integrating AI-driven tools.
- Skill in handling cross-regional collaboration and policy alignment.
- Experience managing global technology and continuous improvement projects within defined schedules with the ability to resolve issues and gates while maintaining schedules.
