The Spa Group Coordinator assist in the accurate and efficient spa reservations process while coordinating with the Meetings & Events department, group planners, and the Spa team. This position will be highly involved with the growth of the spa social and wedding business, and will be the liaison with the MPB Membership team relative to promotions, offers and events.
ESSENTIAL FUNCTIONS
The essential functions of this position include; although, are not limited to:
Actively participate in site visits with the Sales team.
Along with the Spa Director, determine appropriate group discounts during the contract process.
Collaborate with the Meetings & Events Managers to determine specific needs of each group.
Manage all aspects of the Spa group block including the Spa contract, grids, appointment changes, therapist and fitness instructor scheduling, organizing group fitness classes, ensuring accuracy of the final invoice, and professional correspondence with the meeting planners and the Catering and Conference Service team.
Attend group pre-cons and the weekly resume meeting.
Support Director of Spa and Assistant Director of Spa in administrative tasks including, but not limited to monthly group sales reports, adjusting therapist schedules, balancing the books, optimizing smart booking.
Inform the Spa desk team of all pertinent details relative to each group prior to arrival. • Required to be present at the Spa desk on group days.
Together with the Spa Director, will work closely with the Director of Member Relations and Director of PR to grow the Member business through attractive offers, promotions and events.
Collaborate with the Weddings team to drive additional wedding and social business to the Spa.
Promote Spa amenities to groups through updated digital photography, pricing and presentation ideas.
Develop and maintain positive working relationships with other Associates and departments. Assist in communication between all necessary departments for the day-to-day operations to be successful.
Act as Leader on Duty in the absence of the Director of Spa and Assistant Director of Spa and/or may be required to work a front desk shift as needed.
Anticipate guest needs.
Ensure guest satisfaction.
Resolve guest issues or concerns that may arise.
Communicate any guest or associate concerns to the Spa Leadership team.
Answer telephones and engage with guests using appropriate etiquette.
Ensure all spa policies, procedures and standards are implemented, functional, and adhered to consistently.
QUALIFICATIONS
High school or equivalent education required. Bachelor's degree preferred.
1-2 years supervisor experience in a spa setting preferred.
Proficient with Excel, Outlook, Book4Time, experience a plus.
Ability to accurately and efficiently input information into computer systems.
Ability to prioritize, organize and follow up on all related responsibilities.
PHYSICAL REQUIREMENTS
Position requires walking and standing most of the working day; must be able to stand and exert well-paced mobility for up to 6 hours in length. Must be able to bend, stoop, squat and stretch to fulfill tasks. Requires manual dexterity, grasping, writing, typing, standing, sitting, walking, and repetitive motions.
OTHER
Due to the fluctuation in business levels in the hospitality industry, associates may be required to work varying schedules to reflect the business needs of the Resort. In addition, attendance is required at all scheduled training sessions and meetings.
Upon employment, all associates are required to fully comply with company rules and regulations for the safe and effective operation of the Resort’s facilities. Associates who violate Resort rules and regulations will be subject to disciplinary action, up to and including termination of employment.
