Site Administrator 

Location:  Clondalkin, Dublin

Duration: Permanent

39 hours per week

  

Overview of the Role: 

The Site Administrator and  will be part of the Veolia site team on the client's site in Clondalkin. He/she will liaise with the site team, client engineering, equipment vendors and service providers to provide support of utilities plant and equipment within the contract scope, and that equipment is following all regulatory, statutory and client corporate requirements.

Day to Day of the Role: 

  • Creating and issuing of PO’s on Workday System and liaison with suppliers / vendors regarding accounts queries.

  • All administrative work associated with the day to day running of the business for the Veolia Energy Team e.g scheduling meetings, ordering stationery, arranging couriers etc.

  • Liaison with Veolia Finance Team on monthly billing for Client.

  • Arranging all contractor and visitor passes on Client systems and Security

  • Requisition PPE and safety equipment as requested. Maintain the onsite stock of PPE for the department and track the costs associated with this.

  • Monthly checks of First aid kits and defibs on Site.

  • Ensuring all Veolia Energy Team Training is kept up to date and booking relevant training courses when certificates lapse.

  • Co-ordination of weekly and monthly communication meetings for the Veolia site team.

  • Ad-hoc administration tasks on behalf of the Project Owner e.g arranging meetings / lunches / functions etc.

  • Support on-going projects and initiatives within FM contract

  • Maintaining list of master drawings and master document folders for Site and ensuring correct revisions of each document are saved on Document Management System. 

  • Maintaining and update of SOPs on Quality Management System and ensuring all SOPs and Training Records are up to date for Contractors on Site. All documents must be correct and up to date for audit inspections.

  • Collation of paperwork for various waste collections on Site and update of records on a weekly basis.


 

Required Skills for the Role:

  • Experience in office administration 

  • Maintaining register of master drawings and master document folders for projects/ site.

  • Maintaining and update of SOPs on a Management System.

  • Experience in scheduling and tracking SOPs and Training Records for site team and contractors on Site

  • Self-motivation, ability to work alone and as part of team

  • Good communication and interpersonal skills

  • Computer Skills (Excel, Word, PowerPoint,  etc)

  • Experience with accounting Raising requisitions -issuing of PO’s to suppliers and receipting goods delivered. 

  • Dealing with accounts queries..

  • Knowledge and experience of Workday
