What You Will Do

In this role, you will handle a wide range of customer service, dispatching, and administrative activities for the Global Marine & Offshore Services team. You will manage service-related activities from initial request to closure, support project managers with day‑to‑day project coordination, and ensure accurate ERP transactions within iSCALA. Additionally, you will oversee inventory operations, coordinate materials and logistics, manage field technician documentation, and support invoicing and accounts receivable tasks.

How You Will Do It

  • Receive, screen, prioritize, assign, and close service-related requests
  • Support Project Managers to ensure smooth execution of service jobs and projects
  • Learn and utilize the full functionality of the iSCALA ERP system
  • Manage inventory, warehouse operations, stock accuracy, and ERP transactions
  • Coordinate with vendors, factories, and logistics to ensure material availability
  • Work closely with the service team to place work orders, process purchase orders, and complete invoicing
  • Upload all service reports to the install base promptly after job completion
  • Handle customer complaints professionally and escalate when needed
  • Perform ERP transactional activities immediately upon receiving details and ensure closure before month‑end
  • Manage and renew access passes and documentation required for technicians on marine & offshore jobs
  • Support accounts receivable activities and provide backup customer call handling
  • Create service work tickets and coordinate technician scheduling with clients
  • Provide daily administrative support to the service operations team
  • Perform other duties as assigned

What We Look For

Required

  • 3–5 years of experience in customer service, dispatching, or administrative roles
  • 2–3 years of hands-on experience with the iSCALA ERP system (mandatory)
  • Strong proficiency in MS Excel
  • Experience in order handling, dispatching, planning, or coordination activities
  • Background in a fast‑paced office environment
  • Strong planning, prioritization, and structured work approach
  • Ability to multitask effectively in a dynamic environment
  • Excellent communication skills and a professional telephone manner
  • Comfortable using multiple computer applications simultaneously
  • Associate’s degree, Diploma, or Bachelor’s degree preferred
