Job Description

Agilent is partnering with leading biopharmaceutical customers in Ireland and is seeking an experienced Senior Scheduling Lead to manage on-site enterprise scheduling operations.

Key Responsibilities

  • Lead and supervise the on-site scheduling team to coordinate preventative and corrective maintenance through specialist vendors and service providers.
  • Coach, mentor, and develop scheduling coordinators to build a high-performing, engaged team.
  • Manage daily scheduling operations, ensuring work is prioritised, balanced, and aligned with customer site requirements.
  • Serve as the primary point of contact for the customer, providing day-to-day workflow updates, managing escalations, and responding to equipment-related queries.
  • Coordinate with service engineers, including work permits, inductions, site access, and compliance requirements.
  • Track, maintain, and report key performance indicators (KPIs), including maintenance performance, safety metrics, and work order completion.
  • Oversee quotation requests, purchase order processing, and ongoing financial tracking related to maintenance activities.
  • Manage inventory processes end to end, ensuring accuracy of data and adherence to service level agreements.
  • Ensure all work orders are accurately maintained within the customer CMMS system and are audit-ready at all times.
  • Ensure compliance with customer vendor management, including training records, risk assessments, and supporting documentation.
  • Collaborate closely with internal functions such as Maintenance, Quality, EHS, and external contractors to ensure compliant and efficient service delivery.
  • Utilise systems such as SAP, Smartsheet, and other planning tools to manage schedules, assets, and documentation.

Qualifications

Required Skills and Experience

  • Third-level qualification required; scientific or technical qualification advantageous with min 3 years’ experience in a regulated/pharma environment.
  • Prior experience in a supervisory or team lead role within a regulated environment.
  • Strong understanding of maintenance planning and scheduling processes.
  • Knowledge of GMP, EHS, and quality systems within pharmaceutical, life sciences, or regulated industries.
  • Excellent communication and stakeholder management skills, with a strong customer focus.
  • Strong organisational skills with the ability to manage multiple priorities in a dynamic environment.
  • Proven ability to adapt quickly to changing priorities and operational demands.
  • Commitment to continuous improvement, training, and professional development.
