Our Canadian operation, Canaccord Genuity Corp., is currently looking for a Senior Office Services Administrator who will be a central point of contact regarding day-to-day operations in support of the business. This role provides operational guidance, coordination, and support to ensure smooth daily activities and service delivery. Act as a senior resource for the Office Services team and support the Office Services Manager in maintaining efficient daily operations. The position hours are 6:30am-3:30pm.

Responsibilities:

  • Coordinate daily Office Services operations across multiple floors, including reception, kitchens, boardrooms, mailroom, and shared spaces.
  • Coordinate staff scheduling, coverage planning, and day-to-day workload distribution.
  • Provide day-to-day guidance and support to Office Services team members.
  • Assist with routine facilities tasks to support smooth daily operations.
  • Support onboarding and training of new Office Services staff.
  • Act as a first point of contact for office-related operational issues and escalate when needed.
  • Maintain and update operational procedures, ensuring adherence to firm policies, internal controls, and service standards.
  • Build effective working relationships with internal departments and external vendors.
  • Support business continuity and day-to-day facilities coordination.
  • Oversee the use and upkeep of common areas, including a large outdoor patio
  • Coordinate and support on-site events, meetings, and firm functions
  • Assist with invoice processing, cost‑center allocation, approvals, and general cost‑control initiatives.
  • Oversee mailroom operations, including mail and package distribution across seven floors, courier coordination (local, national, international, inter‑office), while meeting daily/weekly/monthly Mailroom deadlines.
  • Develop and maintain a prominent level of expertise and knowledge of the Mailroom functions.
  • Lead by example and actively participate in daily operational tasks (hands-on role)
  • Flexibility to provide support outside regular business hours in urgent or emergency situations (infrequent but required).

Skills & Qualifications:

  • Minimum 4 years of experience in an office administrator or similar professional office role.
  • Hospitality experience is considered an asset.
  • Strong problem‑solving skills, initiative, and ability to support day‑to‑day team operations.
  • Highly organized with strong prioritization, coordination, accuracy, and follow‑through.
  • Adaptable to changing priorities and supportive of operational improvements.
  • Strong written and verbal communication skills with an ability to interact with staff at all levels.
  • Experience organizing meetings, events, or internal office initiatives.
  • Intermediate proficiency with Microsoft 365 (Outlook, Excel, Word; channels, forms, simple workflows).
  • Familiarity with Concur or similar expense systems.
