About the Role

World Kinect is seeking a highly organized and detail‑focused Marketing Operations Senior Manager to support our global marketing organization. In this role, you will ensure smooth day‑to‑day operations across systems, financial workflows, reporting, and administrative processes, while guiding a matrixed marketing operations team based in South Africa.

What You’ll Do

Marketing Operations Leadership

• Serve as the operational backbone of the global Marketing team.
• Provide matrixed leadership to a South Africa–based operations team.
• Partner with local managers to align workloads, priorities, and processes.
• Ensure consistent adoption of global workflows and standards.
• Build and maintain documentation, SOPs, and operational guides.

Financial & Invoice Management

• Manage the full lifecycle of marketing invoices (coding, processing, tracking & reconciliation).
• Coordinate with vendors, Finance, and Procurement.
• Maintain budget visibility tools to support spend tracking and forecasting.
• Ensure correct allocation across cost centers, departments, and campaigns.

Rewards Program Administration

• Oversee daily administration of the World Fuel Rewards program.
• Process redemptions, adjustments, and escalations.
• Communicate with internal teams and external partners.
• Support reporting and ensure program compliance through periodic audits.

Marketing Systems & Process Support

• Assist with Monday.com setup, permissions, workflows, and maintenance.
• Conduct routine audits to ensure consistency and accuracy.
• Partner with global teams to improve system usage and efficiency.
• Maintain onboarding guides, process maps, and training materials.

Reporting & Operational Support

• Produce weekly and monthly reports on marketing production workload, SLAs, and backlog.
• Maintain dashboards that support transparency across global teams.
• Provide administrative support, including scheduling, contract routing, and stakeholder coordination.

Event Logistics & Promo Item Management

• Support tradeshow and event logistics in collaboration with the Events team.
• Manage promo item inventory, replenishment, and global shipments.
• Maintain tracking systems for event assets, materials, and shipments.
• Coordinate with vendors and provide administrative assistance as needed.

What We’re Looking For

Experience

• 5–7+ years in marketing operations, business operations, or administrative operations.
• Experience working with global or matrixed teams preferred.
• Familiarity with financial operations, invoice processing, or procurement workflows.
• Experience with Monday.com, CRM tools, or marketing platforms is a plus.

Education

• Bachelor’s degree in Business, Marketing, Communications, Operations, or related field preferred.

Skills & Competencies

• Strong leadership and team‑guidance skills (matrixed experience beneficial).
• Excellent organizational abilities and attention to detail.
• Strong analytical and reporting skills.
• Proficient in Microsoft Office (Excel required).
• Ability to manage multiple deadlines in a fast‑paced environment.
• Strong communicator able to work across regions and time zones.
• High reliability, initiative, and follow‑through.
