The Senior Manager, Administrative Services is a senior management role, responsible for overseeing general administrative team(s) and coordinating with necessary internal or external stakeholders (such as suppliers/vendors) to meet organizational needs.
This senior people management role is responsible for selecting, developing and evaluating team members to ensure the efficient operation of the function whilst fostering a collaborative and innovative team culture focused on operational excellence.
Key responsibilities:- Oversees general administrative team(s) and coordinates with necessary internal or external stakeholders (such as suppliers/vendors) to meet organizational needs.
- Supports the activities of the senior management in the business unit to ensure smooth operation and achievement of business unit objectives.
- Manages and coordinates electronic diary and schedules commitments to ensure maximization of the manager’s time efficiency, including the management of travel itineraries for domestic and international travel.
- Assigns and monitors clerical and administrative function and ensures the preparation of the relevant staff schedules for the business unit.
- Designs and implements office policies and establishes the required standards and procedures relating to office operations and procedures.
- Prepares required meeting agendas, arranging all meeting logistics and facilities as required.
- Drafts letters and correspondence and prepare reports and statistical information ensuring distribution to the relevant internal stakeholders.
- Maintains the flow of information to colleagues as required.
- Processes incoming and outgoing mail and facsimile, sorting and distributing to the relevant individuals.
- Maintains and updates files, managing hard copy and electronic files and records and maintaining an adequate filing system.
- Maintains office supply inventory and other additional supplies as needed.
- Ensures the efficient operation of office equipment by arranging for routine and necessary maintenance.
- Reviews and approves supply requisitions and maintains and replenishes inventory and ensures that stock is checked to determine inventory levels.
- Prepares, completes and distributes the relevant management reports.
- Prepares and creates professional presentations, spreadsheets and databases in line with requirements.
- Performs any other related administrative management tasks as required.

Academic qualifications and certifications:- Bachelor’s degree or equivalent in Business Administration or equivalent field.
Required experience:- Extended working experience gained in a similar role preferably within a related environment.
- Extended experience dealing with internal and external stakeholders.
- Extended proven experience managing people.
