Senior Executive, Finance (ERIAN)

This role is deployed to ERIAN.

Key Responsibilities include:

1) Ensure efficiency in carrying out the following tasks:

  • Maintenance of grant accounts for new projects and changes to existing projects

  • Liaise and clarify with Research Support Office (RSO), Schools, Centres & PI on account creation matters

  • Verification of financial information for project setup and budget virement in Research system (RISE)

  • Prepare claims and trigger invoices from RISE

  • Prepare fund transfers journals

  • Follow up to clear outstanding items

  • Follow up with funders on outstanding claims

  • Prepare Final statements of accounts (FSOA)

  • Refund of balances, if any (payments & journals)

  • Closure of project accounts

2) Ensure timely submission of research grant claims

  • Prepare grant claims in accordance with the funding agencies guidelines and harmonized guidelines  

  • Check to ensure that the grant claims prepared by Schools/Centres are accurate and are in accordance with the funding agencies guidelines and harmonized guidelines

  • Ensure Final Statement of Accounts are submitted to funding agencies within the stipulated timeline

3) Prepare journals to allocate grants received to individual projects (Joint collaboration projects)

4) Handle enquiries from funding agencies, Schools, researchers

5) Participate and/or drive ongoing and ad-hoc projects in improving processes and systems enhancements and/or formulation of policies relating to financial administration of research grants

6) Clear grant claim queries raised by funding agencies promptly

  • Liaise with funding agencies, PI etc when the need arises

  • Follow-up with PI/Schools on non-fundable expenses 

7) Support management in various financial and management reporting and audit issues

Qualification:

  • Degree or diploma in Accounting, Finance, Business, or related discipline

  • 3–5 years of relevant experience in research grant administration or finance operations, preferably in a university or research environment

  • Basic understanding of research grant administration and compliance requirements; prior experience in grant claims or research finance is an advantage

  • Hands‑on experience in grant account maintenance, claims preparation, journals, and project closure

  • Working knowledge of grant guidelines, harmonised guidelines, and basic grant compliance requirements

  • Experience using research finance systems and good Excel skills

  • Able to liaise confidently with researchers, Schools/Centres, RSO, and funding agencies on operational grant matters

  • Detail‑oriented, organised, and able to manage multiple deadlines and high claim volumes

  • Team‑oriented, responsive, and able to escalate issues appropriately to senior finance staff
