Compensation

Compensation includes a base salary of $81,400.00 - $122,000.00. The base salary may vary within the anticipated base pay range based on factors such as the ultimate location of the position and the selected candidate’s knowledge, skills, and abilities. Position may be eligible for additional compensation that may include an incentive program.

Job Description

Cox is hiring a Senior Executive Assistant who will provide administrative leadership and support to the Senior Vice President of HR Technology & People Analytics along with the VP of the Center for Inclusion and his or her direct reports. The individual in this role will provide seamless execution of tasks and administrative support including extensive calendar management, meeting preparation, managing the leaders’ daily schedule, and handling tasks on behalf of the leaders as needed. 

The Sr. Executive Assistant must demonstrate a high level of integrity, professionalism and confidentiality, handling sensitive information with tact, discretion and judgment. A high degree of responsiveness and independent judgment is required to plan, prioritize and organize in a fast-paced, rapidly changing environment. The Executive Assistant is the key to keeping the leaders focused on the business priorities by taking care of administrative details and tasks. This position involves a high level of visibility and interaction with senior leadership (VP+) and a variety of other departments and business functions.


Primary Responsibilities and Essential Functions 

 

Core Administrative Duties:

Calendar & Schedule Management

  • Proactively manage complex, dynamic calendars with shifting priorities.

  • Prioritize meetings based on strategic impact and urgency.

  • Proactively guard the executive’s time through effective triage and coordination.

  • Maintain the same in-office hours as the executives that you support.

Correspondence & Communication

  • Serve as a liaison between the team and internal/external stakeholders.

  • Maintain confidentiality in all communications.

P-Card / PO Management

  • Assist in the procurement process for the organizations supported.

  • Process associated expense reports accurately and promptly (within current month)

  • Process all Purchase Orders accurately and promptly (within 5 business days)

Meeting Preparation & Support (as requested)

  • Coordinate meeting events as requested.

  • Prepare agendas, briefing materials for all staff meetings and/or other meetings.

  • Capture action items and ensure follow‑through.

  • Collaborate with team leaders to prepare MS powerpoint presentations for all large meetings, including Town Halls, leadership meetings, vendor meetings, etc., as requested by the executives supported.

Travel & Logistics (as requested)

  • Coordinate travel as requested for the executives and others for large events.

  • Manage itineraries, reservations, and contingency planning.

  • Update and adjust calendars to include all travel documentation.

  • Process associated expense reports accurately and promptly (within current month).

Strategic & Operational Support:

Project Coordination (if requested)

  • Track deliverables and deadlines for initiatives led or sponsored by the executives supported.

  • Track deliverables and deadlines required of the executives including monthly reports and others, as requested.

  • Maintain trackers, and status updates.

  • Coordinate cross‑functional collaboration between departments.

  • Maintain MS Teams channels or other collaboration sites as requested to store documents and foster collaboration with various stakeholders.

  • Assist the executives with other project or team-related initiatives assigned including establishing volunteer opportunities, coordinating catering, etc.

Information & Workflow Management

  • Anticipate information needs before it arises.

  • Ensure the leader has timely access to data for decision‑making.

  • Develop and maintain efficient systems (files, databases, SOPs).

Relationship Management

  • Build strong working relationships with senior leaders, partners and teams they support.

  • Support committees, councils, or leadership forums the executives participate in.

  • Represent the executives professionally when interacting with stakeholders.

Required Qualifications

·       Bachelor’s degree in a related discipline and 2 years’ experience in a related field. The right candidate could also have a different combination, such as a master’s degree and up to 2 years’ experience; or 6 years’ experience in a related field 

·       Advanced knowledge/experience in MS Outlook, Word, Excel, and PowerPoint. 

·       Proficiency with digital tools and an aptitude to quickly learn new technologies to bring further accuracy and efficiency to the role.

·       Exceptional organizational skills required; must be detail-oriented; have ability to prioritize and work independently

·       Demonstrated ability and experience to act proactively and to effectively anticipate and respond to the needs of the executive

·       Demonstrated experience maintaining professional demeanor, confidentiality and discretion given the nature of the work.

·       Demonstrated success and experience in building relationships and working collaboratively.

·       Experience with meeting planning and event logistics for large groups, including in person and virtual/remote meetings.

·       Critical thinker with a strong eye for accuracy.

·       Excellent written and verbal communication skills; strong listening skills

·       Excellent calendar management skills. 

Preferred Qualifications

·       5+ years of experience supporting Senior Executive level leader in a high work volume, fast-paced and complex matrix environment. 

·       Proficiency with digital devices and files and an aptitude to quickly learn new technologies

·       Demonstrated ability and experience in building relationships, working collaboratively in a team environment; ability to build coalitions and alliances across the enterprise

·       Experience with meeting planning and event logistics for large groups (30+ attendees) including virtual/remote meetings

·       Experience successfully working in a hybrid environment with both in-office and remote flexibility
