Senior Associate, Travel and Expenses - Bangsar South

The Travel & Expense (T&E) Senior Associate plays a key role in managing the company’s travel and expense operations within the Global Business Services (GBS) organization. The position is responsible for ensuring accuracy, compliance, and operational excellence in line with company policies and global standards. This role also supports continuous improvement initiatives, system integrity, and a positive employee experience, while collaborating with internal and external stakeholders to drive efficiency and policy adherence.
What will you be doing?
Expense Management
Managing and auditing employee travel and expense (T&E) activities to ensure accuracy, compliance, and proper financial reporting. This includes reviewing and reconciling expense reports, processing transactions in systems such as SAP, AX, and Concur, and ensuring correct cost center and general ledger coding. The role also involves reconciling corporate credit card accounts, coordinating with Accounts Payable and General Ledger teams for accurate accounting, and providing guidance and training to employees on T&E policies and systems.
System Administration and Reporting
Maintaining data accuracy and integrity within the T&E system (e.g., Concur) and ensuring effective monitoring of expense-related transactions. This includes preparing and analyzing regular and ad-hoc reports to identify spending trends, compliance gaps, and cost optimization opportunities. The role also supports internal and external audits by providing required documentation and ensuring adherence to internal controls. Additionally, it involves performing AP closing activities, preparing reconciliation reports within set timelines, and producing monthly reports to track and resolve long-outstanding items promptly.
Process Improvement and Compliance
Support continuous process improvement and system enhancement initiatives to drive efficiency, accuracy, and control. Maintain and update Standard Operating Procedures (SOPs) in line with policy or process changes, and manage issue tracking through the CAPA system to ensure timely completion of corrective and preventive actions. Additionally, contribute to the testing and implementation of new systems, functionalities, and process enhancements to meet business needs and ensure global process consistency.
Stakeholder Collaboration
Collaborate with Finance, HR, Procurement, and IT teams to ensure smooth, end-to-end travel and expense operations. Coordinate with regional and global stakeholders to align local business needs with global standards, and actively participate in cross-functional projects and initiatives that enhance employee experience and operational efficiency.
Team support and Development
Assist the Team Lead and team members in initiatives aimed at improving team effectiveness and performance. Provide coaching and knowledge transfer to new joiners to ensure smooth onboarding and integration. Generate, compile, and review KPI metrics for PTP and T&E functions at month-end, and develop action plans to address areas requiring improvement.
What will you need to be successful?
A highly detail-oriented professional with strong analytical and problem-solving skills, in-depth knowledge of Travel & Expense (T&E) processes, accounting principles, and internal control frameworks. Demonstrates a commitment to operational efficiency, compliance excellence, and continuous improvement, with a proven ability to make data-driven decisions. Known for customer focus, accountability, integrity, and a collaborative approach to teamwork, fostering process improvements across functions and regions.
Holds a degree or diploma in Accounting, Finance, Business, Management, or a related field, with 2–4 years of experience in corporate T&E operations or related areas such as Finance and Shared Services. Experienced in using Concur, SAP, or similar T&E systems, with excellent organizational, analytical, and problem-solving abilities. Possesses strong communication and customer service skills, high attention to detail, and the ability to perform under tight deadlines. Fluent in Chinese and English, with additional languages considered a plus.
