General Description:
The Senior Clinical Investigator Payment Associate for Poland will provide specialized support to the Clinical Site Payments department and studies within the Site Payment portfolio. This role involves close collaboration with investigative sites, the Clinical Operations team, Clinical Site Contracts, Budget Development team, and site payment vendors. The successful candidate will apply critical and analytical thinking to ensure accurate and timely site payments, effectively managing the study portfolio by planning, executing, and tracking global clinical trial payments.
Key Responsibilities:
- Site Payment Vendor Management:
- Experience with industry vendor clinical site payment systems such as Oracle CTMS, Veeva, ClinRun, and Greenphire.
- Demonstrated ability to hold vendors accountable for services outlined in the Statement of Work (SOW).
- Financial Management:
- Solid understanding of Fair Market Value benchmarks and assessments.
- Ability to manage global payments and total study budgets, with a specific emphasis on internalizing site payments in EMEA countries, including Poland.
- Development of process guidelines and workflows illustrating end-to-end site payment processes, alongside experience in country-specific payment rules and regulations.
- Create Purchase Requisitions and Purchase Orders while working closely with Accounts Payable on managing site payments issued by BeOne.
- Project Oversight:
- Proven experience in supporting R&D related to Clinical Trial business operations.
- Participate actively in leading site payments projects and assess project performance, monitor progress, identify and quantify variances, perform corrective actions, and communicate findings to stakeholders.
- Work effectively with third-party site payment vendors to resolve discrepancies, historical payment issues, and monthly reporting requests.
- Track payments owed to clinical research sites based on negotiated unit prices per contracts.
- Monitor and report on invoice aging and outstanding payments in real-time according to established departmental and company guidelines.
- Risk Management:
- Oversee invoice and payment status, proactively performing risk mitigation actions for invoice review, approval, and payment.
- Identify issues and propose risk mitigation strategies to the Clinical Site Payments leadership team.
- Support management in identifying risks, developing mitigation strategies, resolving issues, and collaborating with cross-functional and matrix teams.
- Communication & Collaboration:
- Align with internal functional partners on invoice and payment discussions before communicating with external parties and investigative sites.
- Maintain frequent and consistent communication with external partners and internal departments regarding payment activities throughout the study lifecycle.
- Be proactively engaged in meetings; when unable to attend due to time zone differences or other reasons, review meeting minutes and follow up on action items.
- Financial Acumen:
- Ability to perform predictive analysis utilizing enterprise and departmental tools to forecast anticipated expenses.
- Solid understanding of variance analysis relating to budget vs. actuals under site budget Purchase Orders.
- Strong comprehension of Clinical Trial site budgets and contractual payment terms in executed Clinical Trial Agreements and how they translate to payments to sites.
- Business Acumen:
- Demonstrated ability to prioritize multiple tasks, plan proactively, and accomplish goals with a moderate level of guidance.
- Proven project management and leadership skills with the ability to pivot quickly to meet changing business needs and manage competing priorities with tight deadlines and deliverables.
- Ability to interact professionally with all organizational levels across functional areas and global regions.

- Communication Skills:

- Technical Proficiency:
- Demonstrated prior experience in Clinical Trial Management, Clinical Site Payments Management and Vendor Management. Experience with SAP and Ariba systems is required.
Education Required:
- BA/BS from accredited college or university and 4+ yrs of industry experience or 5+ years in clinical research or pharmaceutical industry.
Computer Skills:
Advanced knowledge Microsoft Office - Word, Excel, Power Point and MS Outlook; Smartsheet, SharePoint, MS Teams, and Power BI
Other Qualifications:
- Fluent in written and verbal English and Polish.
- Excellent written and verbal communication skills and interpersonal relationship skills including relationship building and management skills.
- Demonstrated problem-solving and critical thinking skills, root cause analysis, attention to detail, and performance of duties.
- Prior experience in clinical operations, finance, or grant payment position
