The Office of Alumni Engagement (OAE) is committed to building a vibrant, connected alumni community of over 300,000 graduates worldwide. We are looking for a Senior Assistant Manager to drive engagement and strengthen alumni ties to NTU through strategic communications and outreach. In this role, you will plan, execute, and optimize communications across EDMs, social media, publicity, and partnership programs to enhance alumni participation and affinity. Your efforts will play a key part in advancing NTU’s mission by fostering meaningful alumni relationships and expanding our global alumni network.
Key Responsibilities:
Strategic Communications & Marketing
Develop and deliver integrated communication and publicity strategies for key OAE programmes and alumni engagement initiatives, including Alumni Learning Day, Nanyang Alumni Awards, PACE Forward Series, webinars, alumni surveys, outreach campaigns, and the annual “Update Your Particulars” exercise.
Plan, produce, and manage end-to-end Lifelong Learning electronic direct mailers (EDMs), including content development, audience segmentation, scheduling, deployment, and post campaign reporting.
Drive content development, messaging alignment, and creation or coordination of design and publicity deliverables across multiple channels. Engage internal and external stakeholders to ensure timely, consistent, and brand‑aligned communications, and review participation indicators to inform continuous improvement.
Social Media Channel Management, Governance & Engagement
Manage OAE’s assigned social media platforms (WhatsApp and Telegram) by developing content calendars aligned with engagement objectives and campaign priorities.
Create and curate content, coordinate design assets, publish posts, moderate messages where applicable, and escalate queries to appropriate owners. Track channel performance and recommend improvements to enhance reach and engagement.
Alumni Volunteer Referral & Stakeholder Coordination
Promote alumni volunteer opportunities and coordinate referral efforts by working closely with internal and external stakeholders.
Facilitate timely referrals of interested alumni, communicate opportunities clearly and consistently across channels, and maintain accurate documentation, timelines, and follow‑ups.
Alumni Merchant Partner Programme Management
Support the development, growth, and ongoing management of the Alumni Merchant Partner Programme by coordinating publicity efforts and current content across approved channels.
Liaise with stakeholders to ensure accurate representation of partner benefits and timely updates to alumni‑facing platforms.
Support for other key alumni engagement initiatives
Assist in the planning and execution of OAE signature events for alumni.
Perform other duties as assigned.
Qualifications:
Bachelor’s degree in a relevant discipline (e.g., Communications, Marketing, Public Relations, or related fields).
Working knowledge of strategic communications, publicity, and marketing practices, including content planning, messaging alignment, and multi‑channel campaign execution.
Working knowledge of digital communication platforms, including electronic direct mailers and social media channels, with an understanding of content governance and institutional branding requirements.
Working knowledge of design and video editing software, e.g., Adobe suite, Canva.
General understanding of alumni engagement, lifelong learning promotion, or stakeholder‑based programmes within a higher education or membership‑based environment.
Minimum 3–5 years of relevant experience in communications, marketing, publicity, or stakeholder engagement roles, preferably within a structured organisation.
Experience supporting or coordinating communication campaigns, digital outreach, or engagement initiatives involving multiple stakeholders.
Exposure to alumni relations, education, or membership‑based programmes is advantageous.
Skills & Competencies:
Effective bilingual proficiency in English and Chinese (written and spoken for communication and outreach to a significant number of Chinese-speaking alumni).
Strong written and verbal communication skills, with the ability to develop clear, accurate, and audience‑appropriate content.
Sound coordination and organisational skills, with the ability to manage multiple initiatives and timelines concurrently.
Ability to work collaboratively with internal and external stakeholders to achieve communication and engagement objectives.
Meticulous and detail‑oriented, with a strong sense of accuracy and accountability.
