The Senior Advisor in Absence Management is responsible for the effective coordination and administration of employee absences across Canada, including short- and long-term disability, work-related injury leaves (occupational health and safety), maternity/paternity/parental leaves, personal leaves, and any other leaves provided by law or offered by the company.
The incumbent ensures a timely return to work while promoting a positive experience for our employees.
Responsabilities
Employee Support & Communication – 50%
Manage the centralized absence/incidents email inbox efficiently.
Act as the primary point of contact for employees regarding all types of absences, providing guidance on the appropriate processes and explaining the impact on their benefits.
Support employees and managers throughout the entire absence process.
Ensure smooth and proactive communication with managers, insurers/external providers, and government agencies.
Collaborate closely with People & Culture partners to ensure consistent communication and support for both managers and affected employees.
Absence & Claims Management – 30%
Ensure external partners manage cases in accordance with established processes and service level agreements (SLAs).
Coordinate the submission of claim forms and follow up with insurers/external providers and government agencies.
Oversee return-to-work coordination in collaboration with managers and stakeholders, ensuring appropriate accommodations are implemented when needed.
Reduce claim costs by leveraging available tools and implementing optimal case management strategies.
Supervise temporary assignments and return-to-work programs.
Administrative Management & Compliance – 10%
Maintain up-to-date documentation in employee files.
Enter and update data in the HR system (Workday) and external partner platforms, and keep the absence tracking database current.
Manage various accounts, reimbursements, top-ups, and provincial programs.
Ensure continuity of benefits during absences and handle premium waiver requests when applicable.
Collaborate with Payroll for adjustments and payments related to absences.
Monitor insurance premium collection from absent employees or upon their return.
Provide support during audits related to absences and leaves.
Subject Matter Expertise – 5%
Serve as a subject matter expert on absence and leave management.
Stay current with legislation related to disability and absence management.
Collaborate with internal and external legal teams on complex cases.
Governance & Continuous Improvement – 5%
Ensure full alignment of absence programs, policies, and guidelines.
Establish regular governance activities with internal and external stakeholders.
Produce reports and analyses on absences/leaves and performance indicators.
Measure the impact of solutions on absence duration and incidence.
Evaluate and identify opportunities for optimization.
Qualifications
Degree in one of the following disciplines or a related field:
Disability Management
Clinical Sciences (e.g., Nursing, Kinesiology)
Occupational Health and Safety Management
Health and Social Services Management
Business Administration
CDMP Certification (Certified Disability Management Professional) is considered an asset.
Minimum 5 to 7 years of experience in disability case management, ideally with a disability insurer or a workers’ compensation board.
Bilingualism (French/English) is required.
Strong interpersonal and communication skills; ability to collaborate with various stakeholders at different levels.
Excellent computer skills (MS Office).
Solid understanding of Canadian labour standards and provincial leave legislation (e.g., LNT, CNESST, RQAP, EI).
National experience in managing STD and LTD claims and return-to-work programs.
Experience with HR systems (e.g., Workday) and case management tools.
