Job Description

The Brailsford College of Arts and Sciences, Office of the Dean will need to fill this position. Approval is requested to post the vacant Senior Administrative Coordinator position that provides comprehensive administrative support to nine departments. This role is critical to ensuring continuity of operations, coordination of complex administrative functions, fiscal oversight, and effective communication across departments. Filling this position will support leadership, maintain compliance with institutional processes, and prevent operational delays that could impact faculty, staff, and students.

The salary is determined in accordance with the University’s compensation structure and will be commensurate with the candidates’ education and experience, within the assigned salary range for this position.

Responsibilities:

  • Provides administrative assistance to the Dean, Associate Dean, and Department Heads;, provides clerical support and manages daily routine tasks for the Office of the Dean; assists with resolving advanced, highly sensitive, and confidential administrative matters under the Dean’s supervision set appointments and maintain Dean’s calendar. Monitors documents to ensure accuracy and timely submission; maintains log to track all incoming and outgoing documents, reviews incoming and outgoing documents and submits for Dean’s approval.  Supervises Dean’s Office staff and student workers; maintains office files (personnel, student, and general documents); Assists with Dean’s travel arrangements, leave travel requests, and reimbursements.

  • Provides regular training to ten departmental administrative associates; provides high-level supervision to departmental administrative associates and administrative staff of academic centers to maintain quality services and adherence to university policies and procedures; serves as the college liaison with key university units, including Human Resources, Registrar’s Office, Treasury Services, and Academic Affairs;  disseminates information regarding policies, procedures, and academic deadlines to all college departments and units.

  • Serves as a University’s and College’s Banner, Ad-Astra and Workday Superuser; routinely interacts with Banner; provides the Dean, Associate Deans, and departments with Banner data for registration, course scheduling and graduation; enters data into the Banner System, reviews, and corrects data in Banner INB and Panthertracks after departments have built their course schedules; enters overrides in the system after maintaining the Dean’s/Associate Dean’s approval; reviews and enters Requests for Incompletes in Banner after Dean’s approval; monitors mid-term and final missing grade submissions and provides status reports to Department Heads and the Deans; works closely with the Registrar and Course Scheduler to interpret and disseminate information regarding Banner procedures to the departments within the college. Compiles and submits graduation audits for the college; copy, scan, and file graduation audits; prepare and distribute graduation letters and flyers.

  • Serves as Time and Effort Coordinator; compiles, reviews, and submits time and effort certifications to the Office of Sponsored Projects; serves as Records Retention Coordinator; maintains and destroys records to ensure compliance with records retention policies and procedures; Serves as the back-up to the College’s Budget Specialist.

  • Assists with coordination of graduation luncheon/receptions and performs other duties as assigned.

Required Education & Experience:

  • Bachelor's degree or equivalent combination of education and experience.

  • Six years of related experience.

Required Knowledge, Skills & Abilities:

  • Knowledge of word processing, spreadsheet, database, and presentation applications.

  • Ability to organize work effectively and prioritize objectives with a high level of discretion and independent judgment and initiative.

  • Ability to multitask and work cooperatively with others.

  • Interpersonal and communication skills.

  • Planning and organization skills.
