Overview:
Seeking a Senior Administrative Assistant who serves as a proactive, high-judgment partner to an executive leader. This role blends strong traditional administrative support with advanced organization skills, critical thinking, and the ability to manage complex information, materials and workflows. The ideal candidate anticipates needs, ensures the executive is fully prepared for meetings and events, and navigates shifting priorities with calm efficiency. They are comfortable using modern office tools, coordinating across teams, and maintaining accuracy, discretion, and professionalism in every interaction. This assistant elevates executive readiness, strengthens communication flow, and contributes to a smooth, well-run office environment.
Primary Responsibilities:
- Works independently and prioritizes workflow appropriately.
- Facilitate calendar management in a timely fashion, such as proactively managing calendars, scheduling/rescheduling meetings, offsite planning, townhalls, etc.
- Accurate and timely task management including travel coordination, expense reports, system (Workday) delegation, weekly summaries, etc.
- Interact professionally with Bank executive management, senior leadership and applicable committee members, responding timely to questions and/or issues on organizational matters.
- Accurately compiles, reconciles and verifies documents as assigned, including meeting materials, departmental reporting, financial expense records, folders/print and other transactions as needed. Attention to detail is critical.
- Maintains files with up-to-date information including departmental Team Sites, organizational charts, and other materials as deemed appropriate.
- Prepares and arranges business presentations and communications, and other professional correspondences ensuring timely preparation, accuracy and professionalism.
- Actively supports the Executive Administrative Assistant in managing floor and workspaces including equipment, related communications, supplies, catering, etc.
- Coordination and support of departmental activities (in-person team meetings, new hire onboarding, special events, townhalls).
- Serve as a liaison between manager and bank personnel, responding to questions and issues on departmental matters. Handle routine matters in manager's absence.
- Adhere to applicable compliance/operational risk controls in accordance with Company or regulatory standards and policies.
- Promote an environment that supports belonging and reflects the M&T Bank brand.
- Maintain M&T internal control standards, including timely implementation of internal and external audit points together with any issues raised by external regulators as applicable.
- Complete other related duties as assigned.
Education and Experience Required:
- Associate's degree or equivalent in experience
- 4 years progressive secretarial/administrative support experience with demonstrated development of skills on-the-job
- Strong calendar and schedule management skills.
- Skilled in managing travel logistics, itineraries, and contingency planning for high-visibility engagements.
- Takes ownership of mistakes and actively works to prevent future occurrences.

Schedule:
This position is fully onsite, reporting 5 days/week to One M&T Plaza in Buffalo, NY.
M&T Bank is committed to fair, competitive, and market-informed pay for our employees. The pay range for this position is $20.55 - $34.25 Hourly (USD). The successful candidate’s particular combination of knowledge, skills, and experience will inform their specific compensation.
