As the Senior Administrative Assistant, you will be responsible for providing a variety of both routine and confidential administrative tasks to support our Senior Vice President, Finance and Risk Management along with other Senior Leaders within the Finance and Risk department.
In this position, you will be part of a busy, vibrant Finance and Risk team here in Vancouver. You will be given autonomy and work with limited supervision to provide solutions within established procedures and practices to the many unique opportunities and challenges faced by our Finance and Risk leaders.

Essential Responsibilities
- Perform administrative tasks for the SVP, Finance and Risk Management, such as managing calendar, arranging travel, preparing expense reports, handling invoices, coordinating mail and couriers, ordering office supplies, computer and other communication products
- Ad-hoc calendar management & travel arrangements for the wider Finance and Risk Leadership team
- Schedule and coordinate meetings for the SVP, Finance and Risk Management, including the facility, venue, and resource booking, compiling required materials, and planning catering and team engagement activities
- Draft, edit, and prepare correspondence, reports, meeting minutes, presentations, and other documentation on behalf of the Senior Team Members.
- Organization of Finance and Risk team building events - work with the meetings and events team as well as external vendors to prepare contracts for meeting spaces, catering, and planning team engagement activities
- Manages executive expenses, vendor invoices, and office costs, ensuring accurate coding, timely processing, and adherence to approved budgets and internal controls. Acts as a key liaison with Finance teams on administrative and payment‑related matters.
- Implement strategies to further reduce expenditures, including meeting logistics, cell phone usage and other costs
- Prepares first draft of certain financial statement disclosure notes for finance team to complete. Acts as redundancy for certain finance administrative tasks.
Qualifications
- 4+ years’ experience within a Senior Administrative or Office Manager position.
- Strong verbal and written communication skills, able to build rapport and connect with leaders and employees at all levels
- Excellent organizational and planning skills; able to juggle multiple priorities in a dynamic environment.
- Excellent attention to detail and accuracy
- Ability to maintain the highest standards of confidentiality
- Able to work with limited supervision – enjoys working both independently and as part of an extended team, collaborating well with others and willing to pitch in where needed
- Takes initiative – makes suggestions on how to improve processes and “get things done”. Ability to anticipate needs of the Executive team.
- In-depth knowledge of MS Office applications, including OneNote, Word, Excel, Outlook, PowerPoint, Teams, SharePoint, ImageNow, Concur, Workday
- Ability to take initiative to liaise with other departments and/or external resources including hotels and other venues for meeting spaces and team building activities
Compensation
$60,800.00 - $83,600.00
This is the expected base pay range for this role. Individual base pay will be determined based on a variety of factors including experience, knowledge, skills, education and location.
