We are seeking a dedicated and experienced Facility Director to oversee ongoing operational management of our office space in Hyderabad & Kolkata in India. The Director of Corporate Services will play a critical role in ensuring the successful setup and efficient functioning of the office, creating a safe, comfortable, and productive environment for all employees.
Key Responsibilities
- Office Fit-Out Management:
- Coordinate with architects, contractors, and vendors to plan and execute the office fit-out according to company specifications and local regulations.
- Manage timelines, budgets, and quality standards for all fit-out activities, including interior design, furniture installation, IT infrastructure, and utilities.
- Ensure compliance with safety, fire, and building codes throughout the fit-out process.
- Conduct regular site inspections and progress reviews to address issues and ensure timely completion.
- Operational Maintenance:
- Oversee daily facility operations (cleaning, security, HVAC, electrical, plumbing)
- Develop and implement preventive maintenance schedules and procedures to ensure optimal functioning of all equipment and systems.
- Respond promptly to maintenance requests, repairs, and emergencies.
- Monitor and manage service contracts with external vendors and suppliers.
- Facility Services:
- Ensure the office environment meets health, safety, and environmental standards considering Central and State government rules
- Manage office space allocation and ensure efficient use of resources.
- Support workplace services such as reception, mailroom, pantry, and meeting room management.
- Implement sustainability initiatives and energy-saving measures where possible.
- Ensure hub rooms and IT rooms are secure and well maintained so that IT staff operations are smooth and unhindered
- Transportation
- Oversee transportation operations to ensure smooth, timely service and employee safety across multiple shifts, with special attention to compliance for women employees as per Central and State requirements.
- Manage parking facilities to maintain cleanliness, safety, and efficient ingress and egress, ensuring parking is used by authorized personnel identifiable by building and SEI credentials.
- Physical Security
- Arrange and manage perimeter security, staff deployment, and secure leased floors, parking, transportation, and temporary event spaces as required.
- Oversee visitor management and security camera operations in partnership with the Head of Security and Life Safety, ensuring compliance with policy and law, and support HR/management with authorized access to recordings during emergencies.
- Cafeteria Management
- Be responsible for day-to-day running of the Cafeteria across multiple shift
- Ensure high quality in the health and hygiene factor in the cafeteria
- Ensure vendor provided food and snacks meet a high level of quality, and are inspected from time to time
- Manage office vending & coffee/tea machines
- Staff Wellness, health and safety
- Ensure all employee health and safety concerns are addressed in coordination with building management, authorities, vendors, and industry bodies to maintain staff safety.
- Audits
- Conduct site visits and audits of SEI Technology and Operations vendor locations, ensuring compliance through regular inspections by builders, representatives, and government authorities.
- Governance, Risk & Compliance
- Maintain strong governance and compliance for vendors, internal staff, and all facility operations, ensuring adherence to laws and contractual obligations.
- Prepare and manage facility budgets, track expenses, and identify cost-saving measures while keeping accurate records and documentation.
- Report progress, risks, and mitigation plans to stakeholders, and handle all necessary liaison and paperwork with landlords, vendors, and government authorities.
- Operational Risk & Business Continuity
- Monitor and support the implementation and ongoing execution of Business Continuity Planning (BCP), including regular reviews, drills, and updates to keep strategies relevant and actionable.
- Maintain communication with government authorities, local industry bodies, and vendors to provide management with timely risk assessments and ensure provision of essential services for employee and visitor safety.
Qualifications and Skills
- Bachelor’s degree in Facilities Management, Civil Engineering, Architecture, or related fields.
- Proven experience (15-20+ years) managing office fit-outs and facility operations, preferably in GCC corporate settings.
- Strong project management, organizational, and leadership skills.
- Excellent communication and negotiation abilities.
- Knowledge of local building codes, safety regulations, BCP & Security protocols, and vendor management practices in India.
- Proficiency in MS Office and facility management & security software.
Location
The position is based in Hyderabad, India. Occasional travel within the city and to other company locations like Kolkata and New Delhi may be required. Travel to vendor locations within India may also be required.
