The primary purpose of this position is to serve as the principal office assistant performing administrative and clerical duties in support of an organization normally found in a Major Command Headquarters. The position entails standardized processes such as organizing documents, maintaining records, prioritizing tasks, monitoring/scheduling the daily activities of Commander/Director/Deputy Director.

Major Duties:

  • PRIMARY PURPOSE CONTINUED: Additionally, maintaining a system of formal internal procedures, administrative controls, coordination among internal/external units and reporting requirements; the prescribed duties demand continuous attention to detail, astute time management and strong communication skills. Performs office automation support using multiple automated programs and software, such as databases, spreadsheets and graphics in support of the administrative and clerical work DUTIES: Directly assists the Commander/Director/Deputy Director in the management of all administrative support program functions. Reviews and processes incoming and outgoing correspondence, materials, publications, regulations, and directives submitted for the Commander/Director/Deputy Director's signature. Performs assignments requiring the application of fundamental principles, concepts, analysis and techniques in program management and adequacy of internal controls. Independently notes and follows-up on commitments made at meetings and conferences by staff members and maintains the Commander/Director/Deputy Director's calendars, coordinates meeting arrangements, and/or schedules meetings and/or conferences. Develops, establishes, updates, and maintains office procedures and records/files of various types to ensure effective and efficient operation of the office.

Qualifications: This is a GG-07 position in the Defense Civilian Intelligence Personnel System (DCIPS). The GG-07 duties for the "Technician/Administrative Support" work category are at the "Entry/Developmental" work level and are equivalent to those at the GS-07 level. The selectee's salary will be set within the grade equivalent to a GS/GG grade based on the selectee's qualifications in relation to the job. In order to qualify, you must meet the specialized experience requirements described in the Office of Personnel Management (OPM) Qualification Standards for General Schedule Clerical and Administrative Support Positions. EXPERIENCE REQUIRED: Your resume must reflect the quality level of experience which demonstrates the possession of the knowledge, skills, abilities, and competencies necessary for successful job performance required for this position. Examples of creditable experience include: Knowledge of a body of standardized rules, procedures, or operations requiring considerable training and experience to perform the full range of standard clerical and non-clerical assignments and resolve recurring problems; and the skill, acquired through considerable training and experience, to operate and adjust varied equipment for purposes such as performing numerous standardized tests or operations. Note: Creditable experience may include previous military experience, experience gained in the private sector, or experience gained in another government agency. OR EDUCATION: One full year of Graduate-level education in a related field. MUST SUBMIT TRANSCRIPTS. OR COMBINATION OF EXPERIENCE AND EDUCATION KNOWLEDGE, SKILLS AND ABILITIES (KSAs): Your qualifications will be evaluated on the basis of your level of knowledge, skills, abilities and/or competencies in the following areas: Knowledge of extensive rules, procedures, or operations applied to secretarial and clerical assignments to perform the procedural and administrative work of the office, such as preparing and editing documents, maintaining files/records, making and preparing travel arrangements, locating, assembling and composing information for various reports, inquiries, and nontechnical correspondence. Knowledge of office functions and commitments of supervisor and staff to prepare and review correspondence, to screen telephone calls and visitors, to maintain supervisor's calendar, and to perform other substantive or administrative work of the organization. Ability to communicate effectively, both orally and in writing. Knowledge of correct grammar, spelling, punctuation, capitalization, and format to accurately prepare and edit written correspondence and reports. Knowledge of various office automation software programs, tools, and techniques to support office operations and produce a variety of documents such as letters, reports, spreadsheets, databases, and graphs. Skill in typing; a qualified typist is required. Knowledge of structure, programs and work methods of organization for personnel/manning issues. CONDITIONS OF EMPLOYMENT CONTINUED: Position is designated special-sensitive and requires eligibility for access to Sensitive Compartmented Information (SCI), other intelligence-related Special Sensitive information, or involvement in Top Secret Special Access Programs (SAP) to fully perform the duties and responsibilities of the position. A non-disclosure agreement must be signed. Drug Testing: This position has been designated by the Air Force as a Testing Designated Position (TDP) under the Air Force Civilian Drug Demand Reduction Program. Employee must pass initial and periodic short notice drug testing.
