Sales & Services Officer (SSO) – WAP

Context & Purpose of the Role
The SSO WAP acts as a specialized operational and administrative expert supporting Wealth Advisory & Planning (WAP) activities within Zone Centre.
The role contributes to efficiency, consistency, and quality of client-related processes, enabling WAPs and Private Bankers to focus on advisory value.
The SSO WAP operates in close proximity to the WAPs, within a centralized yet flexible way of working, and evolves from execution and support toward increased autonomy and expertise, under appropriate controls (4-eyes principle).
Key Responsibilities
1. WAP Operational Support & Expertise
- Provide specialized support to WAPs on complex Wealth Planning activities.
- Act as a reference point for WAP-related operational questions within Zone Centre.
- Ensure consistent application of processes and tools across cases.
2. Donations & Wealth Planning Files
- Draft letters of intent and associated agreements for donations, under the supervision of the relevant WAP.
- Use the Donations (CCDM) tool to prepare and document files.
- Ensure correct follow-up and archiving of all related documentation.
3. Civil Companies (Sociétés Simples)
- Manage civil company files using CCDM – Management Civil Companies.
- Support and progressively contribute to the drafting of minutes, statutes, and registers of shares.
- Ensure accurate follow-up and archiving of legal documentation.
- Evolve from support toward content drafting, under WAP supervision and 4-eyes control.
4. Transfers & Repatriations
- Handle tarnsfers and follow up on related supporting documents (account extracts, consolidated files for archiving).
- Manage repatriation requests from abroad, including:
- Archiving incoming requests and committee decisions
- Encoding accepted cases in shared tracking files
- Following up with Private Bankers on fund arrival and potential reinvestment
5. Quality, Risk & Compliance
- Ensure files are complete, compliant, and auditable.
- Apply internal controls, confidentiality standards, and escalation rules.
- Contribute to risk mitigation through structured follow-up and documentation discipline.
6. Collaboration & Way of Working
- Work in close collaboration with WAPs, SSOs, and Private Bankers within Zone Centre.
- Contribute to alignment across zones and continuous improvement of the SSO WAP model.
- Support knowledge sharing and onboarding of new colleagues when relevant.
Required Skills & Competencies
Technical & Functional
- Strong knowledge of Wealth Planning operations (donations, civil companies, transfers, repatriations) is an asset
- Excellent documentation and drafting skills
- Ability to work with specialised tools (e.g. CCDM)
- High attention to detail, structure, and quality
- French with a good knowledge of Dutch
