Retail Operations Administrative Assistant

Corporate Full time

This position is based out of our corporate office in downtown Indianapolis. The general salary range is $17-$20/hr. and includes full benefits (below).

The Retail & Operations Administrative Assistant provides comprehensive administrative and operational support to the Retail Directors, retail management team, and retail site leadership. This role also supports the Executive Assistant for Operations in coordinating activities across the Retail and Operations areas.  This position serves as a key point of contact for day-to-day administrative functions, helping ensure efficient operations through strong organization, communication, and coordination. The role supports departmental initiatives, assists with routine business processes, and contributes to a well-organized and responsive administrative environment.

Example Duties and Activities

  • Provides administrative support to Retail Directors, retail management, and retail site leadership, including scheduling, correspondence, document preparation, and general office support.

  • Assists the Executive Assistant for Operations with calendar coordination, meeting logistics, travel arrangements, expense documentation, and follow-up tasks.

  • Screens incoming calls, emails, and correspondence; directs inquiries to the appropriate team members and ensures timely responses.

  • Supports departmental projects and initiatives, including data tracking, report preparation, and coordination of action items.

  • Assists with coordination of meetings, trainings, and events, including scheduling, room setup, materials preparation, vendor communication, and logistics.

  • Helps process purchase orders, invoices, and expense reports; assists with reconciling departmental expenses as needed.

  • Tracks, orders, and maintains office and operational supplies for retail and operations teams.

  • Prepares, organizes, and distributes reports, newsletters, presentations, training materials, and other departmental documents.

  • Supports cross-departmental coordination by assisting with communication, scheduling, and document sharing.

  • Provides backup administrative support for operations-related activities, including mail distribution, meeting coordination, and other routine office functions.

  • Assists with special projects and initiatives as assigned by retail leadership or the Executive Assistant for Operations.

  • Maintains discretion and confidentiality when handling sensitive information, correspondence, and records.

  • Performs limited local travel to retail sites, meetings, or events as needed.

  • Industry Expertise - Demonstrates proficiency in general office administrative practices and procedures, with the ability to support multiple leaders and priorities in a fast-paced environment.

  • Technical Knowledge - Strong working knowledge of Microsoft Word, Excel, Gmail, Google applications, and internet-based tools. Accurately manages data, records, reports, and documentation with strong attention to detail.

  • Communication Skills - Effectively communicates verbally and in writing with internal and external stakeholders. Produces clear, concise, and professional written materials, including SOPs, correspondence, and documentation. Demonstrates excellent phone etiquette and active listening skills.

  • Teamwork - Works well with others and makes valued contributions to the outputs of others in order to assist the team or project to achieve the required outputs.

  • Ethical - Adheres to procedures and protocol, including maintaining confidentiality in passwords, logging on and off procedures, and adherence to Goodwill’s values.

  • Organization and Planning - Manages multiple priorities while maintaining accuracy and professionalism. Demonstrates sound reasoning, planning, research, and problem-solving skills to complete tasks and support process improvements.

Other Requirements

  • Background Screening - All candidates must pass a pre-employment background check.  Must have a valid driver’s license, up-to-date auto insurance, and a good driving record.
