Position Summary:

The Facilities Department Coordinator provides administrative and operational support to the Facilities team. This role serves as a key point of coordination between stores, internal stakeholders, and external vendors, ensuring facility requests are tracked, prioritized, and resolved in a timely and cost-effective manner. The Coordinator manages work order intake, vendor communication, reporting, supports preventive maintenance programs, licensing, and permit requirements.

Essential Functions:

  • Receives, reviews, codes, logs and routes invoices to ensure proper billing coding, tracking and payment of invoices in comparison to agreements. 

  • Administration of work order management software system by setting up new users, creating and re-routing service requests, troubleshooting issues in coordination with technology teams, customization and testing of updates, and training of new users.

  • Supports the development of the annual facilities capital and expense budget by developing schedules, communicating activities, compiling and reporting on results, and finalizing the annual project lists.

  • Coordinates and develops consistent internal and external department information and communications for task management software and intranet information source for stores.

  • Audits and completes capital requests ensuring all documents are completed accurately and all costs are accounted for appropriately.

  • Administrates storage unit rental program. Coordinate rentals for high volume seasons. Work with vendors on pricing and contract. Primary contact for delivery coordination, resolve issues, and invoicing.

  • Maintains current facility-related licenses, permits, and certifications for all retail locations, ensuring timely renewals and accurate documentation. Serves as the primary liaison with local municipalities, inspectors, and internal partners to support licensing and permitting requirements.

  • Completes other administrative responsibilities, including but not limited to; develop reports, schedule and coordinate meetings and travel, transfers phones, and file maintenance. 

  • Performs other duties as assigned.

Knowledge / Skills / Abilities:

  • Knowledge of organizational policies and procedures.
  • Excellent customer service, teamwork, and problem solving skills.  
  • Demonstrates a high level of professionalism in dealing with confidential and sensitive issues.
  • Excellent written and verbal, and interpersonal communication skills.
  • General accounting knowledge.
  • Google, database, email and internet software application proficiency
  • Time management, organizational skills, prioritizes and manages fluctuation in workload. 

Equipment / Tools / Technology:

  • OnBase, Corrigo, and Ariba.
  • Google, spreadsheet, word processing, presentation, database, e-mail and internet software applications.

Education & Minimum Experience Requirements 

  • High School / Equivalent required, Associates Degree preferred
  • Commissioned Notary Public in the State of Michigan or Obtained within 30 Days of Hire and maintained 
  • Two or more years of previous accounting or administrative experience or an equivalent combination of education, training, and experience.
